About The Position

The Medical Assistant – School-Based serves as a primary point of contact for school-based patients. The MA may at times work in the clinic and/or school setting. The MA ensures accurate collection and entry of demographic and insurance information in the Electronic Health Record (EHR) while maintaining patient confidentiality. In the clinical capacity, the MA supports and submits prior authorizations, triages patient clinical needs, and supports medication refill processes in accordance with organizational policies. This position at times may room patients, obtain vital signs, perform EKGs, administer injections, and assist providers with procedures as needed. This position requires flexibility, cross-functional collaboration, and the ability to access and manage both front and back office EHR functions. The MA works closely with the clinical providers, Lead Therapists- School-Based, Clinical Managers- School-Based, and operations leadership to support efficient clinic operations, high-quality patient care, and a positive patient experience.

Requirements

  • High School Diploma or Equivalent required.
  • Medical Assistant Certification (CMA), Registration (RMA), or Certified Clinical Medical Assistant (CCMA)
  • American Heart Association Basic Life Support Provider (BLS)
  • Graduate from accredited ABHES or CAAHEP Medical Assistant program
  • Vaccines for Children (VFC) Program
  • Knowledge of OSHA, CLIA, and ADA
  • Knowledge of standard laboratory and medical procedures
  • Requires basic math and accurate data collection and entry skills
  • Knowledge of medical office practices required
  • Excellent written and oral communication skills required
  • Proficient computer skills, including Microsoft Office (specifically Word and Excel), Electronic Medical and Health records, and other applications.

Nice To Haves

  • Prior experience with behavioral health preferred
  • Prior experience with youth preferred
  • 2 years of experience in an ambulatory care setting preferred
  • Proficiency with VFC, CHIRP, and VOMS preferred

Responsibilities

  • Monitors patient phone calls, collects medication-related information, and routes test results to providers for review.
  • Reconciles billing from offsite labs by comparing daily lab logs with the EHR.
  • Supports and submits prior authorization for behavioral health and clinical services.
  • Supports providers in follow-ups needed regarding prior authorization status.
  • Ensures accurate and timely documentation in the Electronic Health Record (EHR).
  • Completes routine patient forms and clinical documentation as appropriate.
  • Prepares exam rooms for patient care by ensuring rooms are cleaned, sanitized, and appropriately stocked.
  • Rooms patients, obtains vital signs, and assesses patient needs for provider communication.
  • Administers injections and vaccines for adult and pediatric patients in accordance with protocols.
  • Assists providers with clinical procedures as directed.
  • Performs lab testing as directed; prepares specimens, operates lab equipment, and maintains laboratory documentation in accordance with CLIA standards and practice protocols.
  • Maintains inventory of medications and clinical supplies, including manual drug counts.
  • Adheres to all JPCHC policies, procedures, and compliance requirements.
  • Works collaboratively with care team members, Clinical Managers- School-Based, and operations.
  • Performs other duties as assigned.
