The Behavioral Health Business Office Manager to oversee administrative, financial, and operational functions in a fast-paced for healthcare environment. This role requires a motivated, detail-oriented leader with strong organizational and multitasking skills to ensure the seamless operation of administrative, accounting, purchasing, and user-related service departments. The ideal candidate is a proactive problem-solver with excellent leadership and communication abilities.

Requirements

  • Bachelor’s degree in business administration, finance, or equivalent experience in lieu of degree preferred
  • Extensive experience in business management, particularly in a multi-unit or regional role.
  • Strong financial acumen, with proven ability to analyze and manage budgets and financial reports.
  • Excellent leadership and communication skills, with experience in managing and developing teams.
  • Familiarity with medical records management and compliance with PHI regulations.
  • Ability to travel within the state as needed.
  • Proficiency in office management software, financial systems, and data entry tools.
  • Complete criminal background Name checked in the registries. (OIG exclusions database, Child Abuse Registry, and Offenders Against Individuals with Developmental Disabilities)
  • Drug testing
  • Education verification and other credentialing based on position requirements.
  • Proof of employment history or references (if required)
  • Positions that require driving Proof of driver's license, driver's insurance, and vehicle, IF required for providing transportation for individuals.

Responsibilities

  • Assist the Director in analyzing financial performance by preparing, processing, and reviewing performance reports.
  • Coordinate development of and analyze budget spending.
  • Develop administrative staffing budget.
  • Ensure accuracy in monthly financial reports; Ensure compliance with billing protocols and financial reporting requirements.
  • Oversee medical records management, including daily filing, storage, and security of medical records and Protected Health Information (PHI).
  • Maintain accurate data entry of consumer information, including admissions, discharges, and medical record updates.
  • Provide general office management, including ordering and maintaining office supplies, operating office equipment, and ensuring office maintenance.
  • Perform clerical tasks such as typing documents, forms, and spreadsheets, distributing mail, and answering office phones.
  • Oversee daily deposits, petty cash funds, and agency credit card security.
  • Manage billing for Medicaid Reimbursement for Interpreting (ASL).
  • Prepare and maintain petty cash documentation.
  • Oversee Billing at Risk; Billing on Hold; collection of copayments; and self pay billing.
  • Review and resolution of denied claims.
  • Analyze monthly income statements for correct revenue and expenses.
  • Provide training and technical support to administrative staff to enhance productivity and compliance.
  • Review and approve time sheets.
  • Lead recruitment efforts, including interviewing candidates and making hiring recommendations.
  • Create personal expense reports.
  • Lead admin recruitment efforts, including interviewing candidates and hiring.
  • Demonstrates flexibility and commitment to meeting unit and consumer needs.
  • Performs additional responsibilities as assigned.
  • This position may directly supervise administrative and maintenance staff.
