About The Position

The Office Manager is the operational and financial backbone of our behavioral health practice. This role oversees daily office operations, ensures efficient administrative workflows, and plays a central role in managing billing processes and revenue cycle performance. The ideal candidate is highly organized, financially savvy, and experienced in supporting a fast‑paced, client‑centered clinical environment. This position requires strong leadership, excellent communication skills, and the ability to coordinate across clinicians, administrative staff, and external billing partners to maintain smooth operations and healthy financial outcomes.

Requirements

  • Prior experience in a healthcare or behavioral health administrative role required
  • Strong understanding of insurance processes, claims workflows, and medical billing terminology.
  • Excellent organizational, communication, and problem‑solving skills.
  • Ability to manage multiple priorities in a fast‑paced environment.
  • Proficiency with EHR systems, billing platforms, and Microsoft Office Suite.
  • Demonstrated ability to maintain confidentiality and uphold HIPAA standards.

Responsibilities

  • Oversee all financial workflows related to billing, collections, and revenue cycle operations.
  • Maintain accurate financial records, including accounts payable, accounts receivable, and expense tracking.
  • Monitor claim submissions, denials, and payment trends to ensure timely reimbursement and identify areas for improvement.
  • Serve as a liaison with the external billing company, ensuring high-quality performance, timely follow‑up, and resolution of outstanding issues.
  • Conduct regular audits of billing processes, client accounts, and insurance documentation to ensure accuracy and compliance.
  • Support insurance verification, authorization tracking, and client billing inquiries as needed.
  • Prepare monthly financial summaries, revenue reports, and performance dashboards for leadership review.
  • Assist with budgeting, forecasting, and financial planning activities.
  • Ensure compliance with payer requirements, HIPAA, and industry standards.
  • Other financial duties, as assigned.
  • Oversee daily office operations to ensure a professional, welcoming, and efficient environment for clients and staff.
  • Supervise administrative staff, including scheduling, training, and performance oversight.
  • Manage the practice’s compliance calendars, ensuring timely completion of required documentation, credentialing, and regulatory tasks.
  • Coordinate communication between clinicians, administrators, clients, and external partners.
  • Maintain organized digital and physical filing systems, including confidential health records in compliance with HIPAA.
  • Support onboarding of new clinicians and administrative staff, including credentialing coordination and systems setup.
  • Oversee office supply inventory, equipment maintenance, and vendor relationships.
  • Prepare and submit clinical and administrative reports as needed.
  • Draft correspondence, forms, and internal documentation.
  • Other administrative duties, as assigned.
