Responsibilities

Prepare new staff packages while ensuring all records, forms and statements are properly processed and updated as required
Assist with coordinating and tracking new employees through onboarding processes including screening, training, and obtaining required certificates
Maintain current records and copies of all safety related requirements as well as process forms and reports
Manage distribution of Iron Horse Property issued to employees
Record and copy all required courses, driver license, driver logs, training documentation and safety documentation and maintain Driver Files
Responsible for Driver’s Log Auditing
Monitor Fleet Management System (Samsara)
Manage the company bulk fuel card program, including programming and issuing cards and accurate entry of data into company provided software
Responsible for data entry, reconciliation, and fuel tax reporting related to fuel purchased, dispensed, and consumed within the fleet
Preparation of fuel utilization statistics and reports used for government fuel tax filings
Maintain safety gear inventory by tracking and ordering
Assist with scheduling and tracking training to maintain employee certifications
Responsible for data entry of company property/certification in tracking system
Maintain accurate electronic and hard-copy filing systems
Respond to general inquiries from various sources through telephone, fax or e-mail
Willingness to assist in additional tasks/projects outside of regular responsibilities
