About The Position

The Parts Advisor is responsible for assisting and selling parts to all customers, over the counter, through the service department, or on the telephone. This role involves specifying and filling orders for the Service Department, handling phone orders (retail & wholesale), and processing online orders via Collisionlink/Repairlink for wholesale customers. The advisor will assist customers in selecting parts, build price quotes with service advisors and technicians, and answer phone calls. They will use parts manuals to identify correct parts for specific vehicles, manage parts payment collection, and ensure accurate billing. Additionally, the role includes assisting with daily inventory, receiving, stocking, shipping, and tracking all parts. The Parts Advisor will pull and fill orders from stock, locate out-of-stock parts, follow up on back-orders, and notify the parts manager of low stock or urgent needs. They will also inform service advisors or customers when special-ordered parts arrive, prepare orders for delivery or pickup, and deliver parts when necessary. Maintaining a professional appearance and a clean work area are also key responsibilities, along with other duties as assigned.

Requirements

  • High school diploma or equivalent required
  • Broad scope of automotive mechanical/electrical knowledge preferred
  • Working knowledge of computers and Microsoft software products
  • Proficient using inventory software, order processing systems & internet
  • Ability to manage priorities and workflow
  • Ability to work independently with minimal supervision.
  • Excellent communication, customer service, and problem solving skills, including the ability to maintain composure under stress
  • Ability to understand and follow written and verbal instructions.
  • Knowledge of the English language, spelling, grammar, punctuation and numbering systems
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees
  • Knowledge of basic math

  • Assists all customers in selecting required parts in a friendly, professional, and efficient manner.
  • Works with service advisors, technicians and external customers to build accurate price quotes.
  • Answers phone calls, provides price quotes and other information.
  • Refers to parts manuals (both hard copy and electronic) to identify the right part(s) for the make, model and year of vehicles being serviced.
  • Handles parts payment collection and makes sure all parts are billed correctly through the service department.
  • Assists with daily inventory, receiving, stocking and shipping.
  • Tracks all incoming and outgoing parts for the dealership.
  • Pulls and fills orders from stock.
  • Locates available parts when the dealership is out of stock.
  • Follows up on back-ordered parts.
  • Notifies parts manager of out-of-stock parts or shop materials that need immediate attention.
  • Notifies the service advisor or the customer when special ordered parts have been received.
  • Sets up orders for daily delivery, or pick-up.
  • Delivers parts when needed.
  • Maintains a professional appearance.
  • Keeps work area clean.
