About The Position

Circle BMW, part of the Circle Motor Group family of dealerships, has an opening for a Dispatcher. This role plans, coordinates, and controls the flow of repair and maintenance work through the Service Department to maximize technician productivity, workshop efficiency, repair quality, and customer satisfaction.

Requirements

  • Talented Automotive Shop Dispatcher with a knack for maximizing technician productivity
  • Ability to plan, coordinate, and control the flow of repair and maintenance work
  • Skill in coordinating and dispatching repair orders based on technician skill, certifications, workload, and repair requirements
  • Ability to monitor and manage daily workflow for efficient utilization of technicians, equipment, and shop resources
  • Experience working closely with a Shop Foreman to prioritize work, address capacity concerns, and maintain balanced technician productivity
  • Ability to collaborate with a Warranty Supervisor to ensure proper documentation, coding, and completion of warranty repairs
  • Skill in reviewing repair orders for accuracy and completeness
  • Understanding of how to assign labor operations and repair times fairly and appropriately
  • Ability to maintain consistent communication with Service Advisors regarding repair status, delays, parts availability, and estimated completion times
  • Proficiency in providing regular repair order updates to Service Advisors
  • Ability to coordinate with Parts Department personnel to minimize repair delays and ensure parts availability
  • Skill in monitoring repair progress and proactively addressing bottlenecks
  • Experience maintaining a route sheet or electronic workflow tracking system
  • Ability to verify technician training, certifications, and qualifications
  • Skill in helping to maintain high levels of technician productivity, efficiency, and quality workmanship
  • Ability to support Service Management in achieving departmental goals
  • Knowledge of BMW dealership quality standards

Responsibilities

  • Coordinate and dispatch repair orders (ROs) to technicians based on skill level, training certifications, workload, and repair requirements.
  • Monitor and manage the daily workflow of the service department to ensure efficient utilization of technicians, equipment, and shop resources.
  • Work closely with the Shop Foreman to prioritize work, address shop capacity concerns, and maintain balanced technician productivity.
  • Collaborate with the Warranty Supervisor to ensure warranty repairs are properly documented, coded, and completed in compliance with BMW warranty policies and procedures.
  • Review repair orders for accuracy and completeness before assigning or closing work.
  • Ensure labor operations and repair times are assigned fairly and appropriately based on manufacturer labor guides and dealership standards.
  • Maintain consistent communication with Service Advisors regarding repair status, delays, parts availability, and estimated completion times.
  • Ensure regular repair order updates are provided to Service Advisors to support proactive customer communication.
  • Coordinate with Parts Department personnel to minimize repair delays and ensure parts availability for scheduled work.
  • Monitor repair progress and proactively address bottlenecks that may impact shop efficiency or customer delivery commitments.
  • Maintain a route sheet or electronic workflow tracking system for all customer vehicles, including customer-pay, warranty, internal, new vehicle, and used vehicle repairs.
  • Verify that assigned technicians possess the required training, certifications, and qualifications to perform repairs safely and correctly.
  • Help maintain high levels of technician productivity, efficiency, and quality workmanship.
  • Support Service Management in achieving departmental goals for customer satisfaction, productivity, cycle time, and profitability.
  • Ensure completed repairs meet BMW dealership quality standards prior to vehicle delivery.
  • Assist with workload balancing and scheduling to maximize shop capacity and minimize vehicle downtime.
  • Promote a safe, organized, and professional work environment within the service department.
