About The Position

Lighthouse Community Public Schools is looking for an Attendance & Student Records Clerk to join their team. The mission is to ensure that traditionally underserved students of color have the opportunity to complete college, secure a career of their choice, and become lifelong changemakers. The Attendance Clerk works as part of the student services team with a primary focus of accurately maintaining student attendance records and assisting students, parents, and teachers in all matters related to student attendance across K-12 campuses.

Requirements

  • A.A. degree required
  • Bilingual in Spanish required
  • 2+ years administrative work in either a school, non-profit, or youth empowerment in an urban community.
  • Detail-oriented, strong follow-through skills
  • Ability to take initiative, prioritize tasks, and work independently
  • Excellent communication skills, both verbal and written
  • Excellent computer skills, including Google Suite and Microsoft Office Suite
  • Displays maturity and ability to work independently
  • Demonstrated flexibility and ability to juggle competing priorities
  • Communicates well with others and demonstrates strong interpersonal skills with students, parents, colleagues and community members

Nice To Haves

Responsibilities

  • Enter daily attendance and related student data into a student database.
  • Edit and revise data, generate information and reports as requested and according to established timelines.
  • Perform daily record-keeping activities to maintain accurate school attendance records.
  • Regularly update computerized data files and records by adding student information and notifying appropriate staff of variances in attendance patterns.
  • Receive, verify, and process incoming attendance, registration, and immunization data from teachers, parents, students, administrators, and other student services providers.
  • Make and receive phone calls and notes regarding student absences.
  • Receive and relay messages to students and parents as necessary.
  • Verify student absences by contacting parents, teachers, or other approved methods.
  • Communicate with parents to ascertain reasons for student absences.
  • Work at the front desk and issue late slips to students as needed and assigned.
  • Serve as a substitute for absent office managers or for OM break relief, as needed.
  • Perform/assist with various clerical support tasks such as answering phones, taking messages, operating intercom message equipment, requisitioning supplies, etc, as required.
  • Support the implementation of LCPS systems to manage and improve daily attendance (e.g. tracking students who have missed consecutive days in a row, communicating with staff about student absenteeism, and completing home visits for students with excessive absences, supporting and implementing attendance initiatives).
  • Refer serious attendance issues according to established procedures.
  • Assist in identifying and resolving problems of students with frequent absenteeism.
  • Assist counselors with communication to parents of students who have been identified as chronically absent, or at risk of becoming chronically absent.
  • Support with LCPS-wide attendance programs and campaigns, including attendance recovery, SART processes.
  • Attend site-based and district-wide attendance meetings and collaborate with attendance stakeholders as directed and needed.
  • Support with site-based follow-through on supplemental and intensive supports for identified students who are chronically absent or truant.
  • Compile statistical information related to student attendance.
  • Perform student attendance accounting, student records reporting and data maintenance, and related activities, as needed.
  • Prepare accurate student absence lists for teachers and administrators.
  • Support the preparation of attendance reports and presentations by the Director of Student Services and District Attendance MTSS Coordinator as needed.
  • Maintain confidentiality of student/operational records.
  • During registration period, particularly during summer student-free months, may support with registration and enrollment as needed including contacting new and returning families to ensure accuracy of enrollment records and attaining all records, including immunization and medical records, to ensure students can fully enroll.
  • Support prescription and OTC Medical forms & administration management, as needed.
  • Support other administrative and records-keeping tasks, as needed.
  • Perform other duties, as assigned by supervisor.
