About The Position

Western Colorado University invites applications for the full-time position of Athletics Operations and Facilities Coordinator. The position reports to the Deputy Director of Athletics. The Athletic Operations and Facilities Coordinator is responsible for the oversight and management of athletic facilities at the University, ensuring their effective operation, scheduling, and maintenance. The role requires strong organizational skills, a collaborative mindset, and the ability to manage multiple responsibilities in a dynamic environment, spanning facilities, events, and staff management. As the primary scheduler for all athletic facilities and fields, the Coordinator coordinates use among athletic teams, campus departments, and outside groups; supports capital projects and renovations; and serves as the main liaison to Facility Services for daily maintenance and upkeep. This scheduling function extends to managing athletic facility contracts and outside facility use, booking events through Teamworks software, and handling all work order submissions and follow-ups. The Coordinator also establishes and maintains relationships with internal and external stakeholders through site visits, facility tours, and consistent service before, during, and after events. On game days, the Coordinator leads execution of all home athletic events, overseeing event-related student workers and staff (including concessions), managing the work-study and event crew, coordinating promotions with corporate partners, and overseeing VIP hospitality, concessions, and ticketing. This includes supervising interns and student workers across Athletics Facilities and Conference & Event Services — leading team meetings, providing individualized supervision, managing performance evaluations and disciplinary action, and handling recruitment, training, and scheduling of student staff. Additional responsibilities include onboarding new athletics staff by conducting facility tours, initiating key and swipe access requests, and communicating operational procedures and expectations; assisting with Conference and Event Services contracts on behalf of the Athletics Department during June and July, including participation in an on-call rotation for after-hours calls as assigned; and supporting the Athletic Director and Athletics Department with the planning and implementation of special fundraising events.

Requirements

  • Bachelor’s degree
  • Two years of experience in facility and event operations or management
  • Valid driver's license
  • Excellent written and verbal communication skills
  • Demonstrated capacity to manage evening and weekend responsibilities in support of athletic program needs
  • Ability to maintain a professional demeanor while delivering exceptional customer service
  • Proven effectiveness in collaborating with cross-functional teams and fostering a cooperative, team-oriented work environment
  • Ability to take initiative and work independently while contributing to a team-based environment

Nice To Haves
