About The Position

UTA is seeking an experienced Associate for Travel Services in their Los Angeles office, focusing on the expanding Global Groups Program. The ideal candidate should have a strong background in contributing to operational excellence within a global organization, with a focus on improving systems, processes, resource optimization, pricing strategies, and vendor relations. This role is suitable for a detail-oriented professional with strong negotiation and project management skills who thrives in dynamic and collaborative environments.

Requirements

  • Minimum 3+ years’ of experience in travel services, specifically within Groups and Events.
  • Expertise in event technology and financial reporting systems.
  • Exceptional interpersonal and communication skills, enabling the development of productive relationships across a broad spectrum of personalities and organizational levels in a fast-paced environment.
  • Proven team player with a background in cross-functional collaboration.
  • Motivated, strategic, results-focused professional with adept problem-solving abilities.
  • Highly organized and committed to a strong work ethic.
  • Demonstrated ability to manage multiple priorities and deadlines independently.
  • Experience coordinating group movements ranging from 10 to over 500 individuals.

Nice To Haves

  • Bachelor’s degree strongly preferred.
  • Knowledge of the entertainment industry is preferred.

Responsibilities

  • Identify and assess suitable venues; manage RFPs and secure optimal contract terms and locations for approximately 50 global programs annually.
  • Review and finalize venue and vendor agreements, ensuring compliance with company policies and departmental standards.
  • Collaborate closely with departments such as Legal, Accounts Payable, and Internal Events to ensure all delivered programs exceed business requirements.
  • Coordinate all facets of group travel arrangements, including room blocks and onsite logistics, in partnership with the travel agency and internal stakeholders.
  • Provide on-site group management and client support as needed (occasional travel may be required).
  • Oversee event budgeting, reporting, and post-event reconciliation.
  • Serve as a backup to the Travel Administrator and contribute to broader travel and groups/events initiatives.
  • Utilize systems, data analytics, direct feedback, and RFP processes to continuously enhance service quality, pricing, and satisfaction.
  • Deliver outstanding client services and efficient outcomes across all departments, levels, and geographies throughout the agency, with sensitivity to local solutions aligned with business objectives.
  • Demonstrate proficiency with online travel booking tools, corporate credit cards, meeting planning, and corporate travel for events.
  • Employ effective communication skills to drive programmatic change and articulate the value proposition of the program.
