Requirements

  • High School Graduate or General Education Degree (GED)
  • Two to four years of administrative experience is required.
  • Experience with Microsoft systems
  • Minimum two years of experience in an office environment.

  • Some advanced education in an office or administrative program desired.

Responsibilities

  • Scheduling various types of specialty training events using specific processes that meet established goals and initiatives.
  • Posting training events in established system utilizing defined processes.
  • Administrative support, maintaining information in systems and data entry.
  • Reporting results and maintaining established systems.
  • Written and verbal communication to students and instructors throughout the specialty training event process, including follow up on inquiries and requests.
  • Administer student registration process and obtain prerequisite reports.
  • Organize and maintain course waitlist.
  • Invoice customers for training courses and services rendered.
  • Maintains and organizes training schedule calendars.
  • Provide support related to class schedules, delivery of training and travel recommendations.
  • Participate in regular status meetings with key customers.
  • Take necessary actions based upon information received from Scheduling Manager and Specialty Training staff.
  • Analyze incoming emails, submissions and requests to determine their significance, and prioritize them according to department procedures.
  • Serve as I-CAR scheduling contact for external customers as needed.
  • Act as a backup to existing scheduling staff when necessary.
