About The Position

The Associate, Residency Program plays a critical role in the daily management and operational oversight of the NYU Grossman Long Island School of Medicine Primary Care Program at NYU Langone Hospital - Suffolk. This position collaborates closely with the Program Director (PD), Program Administrator (PA), faculty, residents, and institutional leadership to ensure compliance with Accreditation Council for Graduate Medical Education (ACGME) requirements and institutional policies. Responsibilities include coordinating recruitment, onboarding, scheduling, and evaluations, maintaining accurate records, and supporting continuous program improvement efforts. The Associate serves as a key liaison between the program and external regulatory bodies, ensuring smooth accreditation processes and promoting a high-quality educational environment for trainees.

Responsibilities

  • Collaborates with the Program Director and Program Administrator to oversee daily operations of the residency program and ensure compliance with institutional and accreditation requirements.
  • Serves as the primary liaison among residents, faculty, GME leadership, accrediting bodies, and other internal and external stakeholders.
  • Interprets and applies ACGME, NYU GLISOM, and NYULHS policies and procedures and provides guidance to residents regarding program requirements.
  • Administers residency management systems, including resident demographics, attendance, schedules, procedure logs, work hour monitoring, and related program records.
  • Maintains confidential information and responds to resident inquiries and concerns in a timely and professional manner.
  • Coordinates and maintains all accreditation and regulatory compliance activities in accordance with ACGME and institutional requirements.
  • Prepares and manages accreditation documentation, including ADS updates, site visit materials, Program Letters of Agreement, internal reviews, and other required submissions.
  • Monitors accreditation citations, action plans, and compliance deadlines to support continued program accreditation.
  • Develops, maintains, and communicates resident rotation, clinic, call, and off-site schedules.
  • Coordinates schedule changes across departments while ensuring appropriate coverage and compliance with educational and accreditation requirements.
  • Administers evaluation processes through residency management systems and monitors completion of resident, faculty, rotation, and program evaluations.
  • Coordinates semi-annual and annual resident reviews and supports the Annual Program Review and continuous quality improvement activities.
  • Coordinates resident onboarding, credentialing, orientation, graduation, and separation processes in accordance with institutional and regulatory requirements.
  • Monitors resident licensure, certifications, training requirements, and compliance documentation to ensure continued program eligibility.
  • Administer residency records and database, ensuring data integrity and accurate documentation.
  • Coordinate ERAS applications and recruitment activities.
  • Manage interview scheduling and NRMP process.
  • Review and validate leave and additional pay requests, resolving discrepancies and escalating issues as appropriate.
  • Support employee and trainee development activities, including coordination of evaluations, feedback processes, and professional development initiatives aligned with program goals.
  • Maintain data in GME systems (ADS, ERAS, NRMP, etc.).
  • Coordinate meetings, conferences, and educational activities.
  • Maintain supplies and program resources.
  • Monitor payroll, reimbursement, and budgeting activities.
  • Track leave and educational allowances.
  • Coordinates and administers faculty development programs and initiatives in collaboration with program leadership and institutional GME offices.
  • Participate in GME coordinator meetings and collaboration activities.
