About The Position

Olen is seeking a motivated and experienced individual to join our Commercial Property Management team as an Associate Property Manager, overseeing a portfolio of buildings in the Brea area. The Associate Property Manager will assist with the day-to-day management and operations of our real estate portfolio. This position works closely with Property Managers and the broader property management team to ensure properties are well maintained; tenants receive excellent service, and operational and administrative responsibilities are handled efficiently.

Requirements

  • Minimum of 3 years of commercial property management experience required
  • Experience working directly with tenants, vendors, contractors, and building personnel.
  • Strong organizational skills with the ability to manage multiple properties, projects, and deadlines simultaneously.
  • Excellent written and verbal communication skills.
  • Strong customer service orientation and professional demeanor.
  • Ability to exercise good judgment and independently resolve routine property and tenant issues.
  • Working knowledge of property maintenance, vendor management, lease administration, and basic property accounting.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Ability to visit properties and conduct routine property inspections as required.
  • A High School Diploma or GED required
  • Driving is an essential duty of this position.
  • Eligible candidates must be able to show proof of a current driver’s license and current personal automobile liability insurance coverage.
  • Ability to speak, read, write, and understand the English language to perform the following: Read and comprehend simple instructions, correspondence, and memos. Effectively present information in one-on-one and small group situations to tenants, subcontractors, vendors, and other employees of the Company
  • Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100’s
  • Must be able to compute rates, ratio, and percentage.
  • Ability to accurately complete time sheets and verify that totals are correct.
  • Ability to solve practical problems.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
  • While performing the duties of this job, the employee is regularly required to talk, hear, and/or see.
  • The employee frequently is required to stand, walk, sit, and use hands and fingers to handle or feel objects.
  • The employee is occasionally required to reach with hands and arms and climb or balance.
  • The employee must occasionally lift and/or move up to 10 pounds.
  • Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus.

Responsibilities

  • Serve as a primary point of contact for tenants and respond promptly and professionally to questions, requests, and concerns.
  • Develop positive relationships with tenants and assist with tenant retention and overall tenant satisfaction.
  • Coordinate maintenance requests and follow up with building staff, vendors, and contractors to ensure timely completion.
  • Conduct regular property inspections and identify maintenance, appearance, safety, and operational issues requiring attention.
  • Assist Property Managers with the overall operation and management of assigned properties.
  • Coordinate with vendors and contractors, including obtaining proposals, scheduling work, monitoring progress, and verifying completion.
  • Review and process vendor invoices and assist with tracking property expenses.
  • Assist with preparation and administration of service contracts and vendor agreements.
  • Assist with annual operating budgets, expense tracking, variance reporting, and other property-level financial reporting.
  • Maintain accurate tenant, vendor, lease, insurance, and property records.
  • Assist with lease administration, including tracking critical dates, renewals, tenant obligations, and certificates of insurance.
  • Coordinate tenant move-ins and move-outs.
  • Assist with property improvement and capital projects as needed.
  • Monitor properties for compliance with company standards and applicable building, safety, and regulatory requirements.
  • Communicate and coordinate with accounting, construction, leasing, maintenance, and other internal departments.
  • Assist with emergency situations and communicate with appropriate team members, tenants, and vendors when necessary.
  • Prepare correspondence, reports, notices, and other property-related documentation.
  • Other duties as assigned.
