About The Position

The Associate Manager, Lease Administration & Facilities will provide hands on lease administration and landlord coordination support across the corporate and brand partner portfolio while also assisting with corporate facilities requests. This role requires strong organizational skills, sound judgment, and the ability to manage multiple priorities across fast moving workstreams. Key Responsibilities Lease Administration • Track critical lease dates including commencement, expiration, renewal options, and rent escalations • Serve as the primary point of contact for landlord communications, notices, and requests • Maintain accurate and current lease files, abstracts, and records across the portfolio • Support lease renewal and amendment discussions in coordination with Legal and Corporate Development Landlord & Vendor Coordination • Respond to landlord inquiries and route requests to the appropriate internal team • Coordinate with landlords and property managers on maintenance, repairs, and facility related requests • Ensure lease documentation is accurate, current, and clearly communicated to internal stakeholders Facilities Support • Assist with corporate facilities requests, including routing service needs and tracking resolution • Support coordination of vendor services and work orders for corporate locations • Help ensure facilities issues are addressed promptly to minimize disruption to restaurant operations Remodel Project Administration • Track administrative requirements for corporate remodel projects, including permits, approvals, and required documentation • Coordinate with Construction and Design & Construction leadership on remodel scheduling, lease related notifications, and landlord approvals • Maintain organized remodel project files and help ensure administrative deliverables are completed on schedule Vendor Support & Coordination • Support and coordinate with vendors on facilities service agreements, work orders, and recurring maintenance needs • Track vendor performance, invoicing, and contract compliance for corporate facilities related services • Help onboard new vendors and ensure they understand Wingstop requirements and service expectations Cross-Functional Coordination • Serve as a point of continuity between Legal, Corporate Development, Operations, Construction, Facilities, and landlords • Support continuous improvement of lease administration and facilities workflows Additional Responsibilities: • Support internal and external meetings by preparing lease and facilities materials, tracking action items, and following up to ensure timely resolution • Manage lease related documentation flow, correspondence, and approvals across Legal, Corporate Development, Operations, Facilities, Construction, Brand Partners, and landlords • Track lease deliverables, approvals, and key dates to support predictable execution of corporate and brand partner projects • Maintain organized, accurate, and up to date lease files, standards, and reference materials • Respond to lease and facilities related questions and clarification requests from Construction, Operations, Facilities, and landlords • Support onboarding of new landlords and property managers by sharing standards, requirements, and process guidance • Compile lease and facilities status updates and summaries for internal stakeholders • Support coordination of facilities updates related to corporate remodels and operational changes • Identify gaps or inefficiencies in lease administration and facilities workflows and support implementation of process improvements This role is essential to ensure Wingstop’s lease obligations and facilities needs are managed consistently, efficiently, and in alignment with the brand’s strategic goals, supporting strong performance and high standards across both corporate and brand partner locations.

Requirements

  • Minimum 5 years’ experience in lease administration, commercial real estate, facilities management, or a related field
  • Experience managing lease portfolios, landlord relationships, or multi-site facilities programs
  • Demonstrated experience coordinating across Legal, Construction, Operations, Facilities, and external landlords or property managers
  • Proven ability to manage multiple lease and facilities priorities with shifting timelines and cross functional workflows
  • Ability to interpret leases, amendments, and related legal and facilities documents
  • Strong ability to organize, track, and manage lease dates, approvals, and facilities requests
  • Proficiency in Microsoft Office and comfort using lease administration or facilities tracking tools
  • Clear, effective communicator able to work confidently with Legal, Construction, Operations, Facilities, and landlords
  • Highly organized, detail oriented, and dependable in follow through
  • Practical, solutions oriented, and comfortable operating in a fast paced, growth environment
  • Demonstrates ownership and accountability in supporting team and portfolio objectives
  • Bachelor’s degree in business, real estate, finance, or a closely related discipline.
