About The Position

The Associate, Grants Management & Systems supports the day-to-day administration of United Way of Greater Cincinnati's community investment processes. Working from established procedures and under the direction of the Director, Impact, the Associate helps maintain grant workflows in our Grants Management System Foundant, tracks calendars and records, completes data checks and reports, responds to routine questions from applicants and partners, and coordinates logistics for public funding, including the City of Cincinnati Human Services Fund. The Associate works closely with the Director of Impact Operations on City requirements and routes complex system changes, compliance questions, contract interpretation, and final deliverables to the accountable staff member.

Requirements

Bachelor's degree in public administration, nonprofit management, business, information systems, or a related field, or an equivalent combination of education and relevant experience.
1-2 years of relevant professional experience in grant administration, nonprofit or public-sector operations, project coordination, database support, or a related field.
Experience or interest in using a database, grant management system, CRM, or comparable workflow platform to maintain records, run reports, or support users.
Working knowledge of Microsoft Excel and common productivity tools, including experience organizing and validating data.
Experience managing detailed assignments with firm deadlines and coordinating work involving multiple contributors.
Experience providing customer service, technical assistance, or user support through clear written and verbal communication.

Responsibilities

Support the administration of UWGC's grantmaking processes from opportunity setup through application, review, award, payment, reporting, and closeout, following established procedures and timelines.
Maintain accurate, complete, and organized grant and partner records; track deadlines, documentation, approvals, decisions, and follow-up; and flag missing information, delays, or exceptions for the appropriate staff member.
Develop and maintain working expertise in Foundant, supporting routine system configuration, data maintenance, user access, testing, troubleshooting, reporting, and documentation.
Provide timely, plain-language technical assistance and training to applicants, funded partners, reviewers, and staff on grant systems and processes, and route programmatic, compliance, performance, or relationship questions to the appropriate staff member.
Compile, validate, reconcile, and organize grant and partner data, and prepare recurring reports, summaries, and operational deliverables for review and use by internal teams, funders, and public partners.
Support the administration of public and restricted funding, including the City of Cincinnati Human Services Fund, by coordinating timelines, meetings, review activities, communications, records, reports, and contract-related deliverables.
Collaborate with Finance, Impact Operations, project leads, Data and Insights, technology staff, and other team members to support accurate, timely, and partner-centered grantmaking.
Follow documented grant-management standards, protect confidential information, identify recurring barriers, recommend practical process improvements, and contribute to other Community Impact priorities as assigned.
