About The Position

Reporting to the Managing Director, Play for P.I.N.K., the Associate, Fundraising Operations serves a critical role in the financial reporting and data management of Play for P.I.N.K.’s strategic plan. They are an integral part of Play for P.I.N.K.’s fundraising program and partner events. This role serves as the point person for the appointed “Treasurer” of each event, tracking all revenue from all annual independent events, managing and entering all event / donor data into organizations CRM system. The Associate, Fundraising Operations will have the opportunity to experience first-hand the full operations of a nonprofit organization, with a focus on fundraising and managing donations received from annual events. This position works closely with the events lead, associate manager, Accountant/Treasurer. This position is based in New York, New York. BCRF currently requires staff to work onsite a minimum of three days per week.

Requirements

  • Bachelor’s degree
  • Minimum of 2-3 years’ experience working in a financial, operations or administrative role supporting a non-profit organization
  • Skilled in Word, Excel, PowerPoint, and Adobe Acrobat Suite
  • Experience with QuickBooks is a must
  • Excellent organizational skills, decision-making abilities, and attention to detail
  • Ability to multi-task, manage, and prioritize multiple requests and deadlines
  • Strong project management skills, with a focus on interdepartmental collaboration
  • Communicate effectively and graciously orally and in writing
  • Willing to tackle ad-hoc projects outside of assigned responsibilities
  • Ability to lift, move or carry up to 15 lbs. on an occasional basis; ability to push or pull a cart weighing up to 15 lbs.)

Nice To Haves

  • Experience working within a non-profit environment preferred
  • Experience using Raiser’s Edge a plus

Responsibilities

  • Confirm daily deposits with each club treasurer and/or chairperson for events
  • Label daily deposits in online bank account to credit appropriate club
  • Process credit cards as needed
  • Deposit all funds (checks) and manage wires, DAF’s and any payments
  • Communicate with bookkeeper to process invoices via BillPay
  • Process refunds and reimbursements
  • Review QuickBooks platform daily to accurately match donations to events
  • Review financial wrap-up process and reporting for each event
  • Ensure matching gifts are appropriately recorded in CRM system
  • Point person for Donor Advised Funds (DAF) inquiries and transactions
  • Manage and track any monies received through all third-party platforms and monitor outstanding monies from clubs/events that have not deposited donations in a timely manner
  • Support and compile yearly audit documents and requirements
  • Create reports by manually combining data from QBO, RE, and event spreadsheets to process tax letters and acknowledgments
  • Process gift-in-kind tax letters via Mailchimp platform and distribute to all event affiliated chairpersons
  • Manage all Play for P.I.N.K. phone and email inquiries
  • Ensure event chairpersons have adequate resources to process all donations
  • Manage tribute donations and send weekly tribute letters when applicable
  • Replenish deposit slips, endorsement stamps, letterhead, envelopes as needed
  • Other duties as assigned
