About The Position

This role collaborates with the Senior Director and Director of Academic Records to provide guidance and support to the Registration and Graduation Operations team. The position supervises Academic Record Specialists, Veterans Services Coordinator, and Enrollment Operation Specialists. The Associate Director will provide direction and support to the team, serving as an escalation point for registration, grades, class schedules, and graduation matters. This role involves collaborating with university departments to clarify Academic Records processes, conducting staff training, and maintaining the integrity of academic records in compliance with policies and regulations. Additionally, the position supports students, faculty, and staff with academic records inquiries, monitors data accuracy, and conducts data analysis. The Associate Director represents Strategic Enrollment Management in the Commencement Workgroup and the Registration and Graduation Operations on the Petition for Exception to Policy committee. Other duties include case resolution, process functions, knowledge article reviews, reporting, and quality assurance.

Requirements

  • Several years of experience in academic records management or a related area.
  • Familiarity with relevant regulations, policies, and best practices.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.
  • Ability to work collaboratively and lead a team.
  • Proficiency in relevant software and databases.

Responsibilities

  • Provide direction and support to the Registration and Graduation Operations team.
  • Serve as an escalation point for matters including registration, grades, class schedule, and graduation.
  • Collaborate with departments across the university to provide clarity and support regarding Academic Records processes.
  • Conduct training sessions for staff to enhance their understanding of policies and procedures.
  • Maintain and manage the integrity of academic records, ensuring compliance with relevant policies and regulations as it relates to Petition for Exception to Policy, graduation, grade changes, and personal information updates.
  • Provide support to students, faculty, and staff regarding academic records inquiries.
  • Monitor and ensure the accuracy of student and academic data in the records system.
  • Conduct regular data analysis to identify trends, discrepancies, and areas for improvement.
  • Represent Strategic Enrollment Management in the Commencement Workgroup and provide data for commencement, communication with graduates, and volunteer for the event.
  • Represent Registration and Graduation Operations on the Petition for Exception to Policy committee.
  • Perform other daily and annual duties related to case resolution, process functions, knowledge article reviews, reporting, and quality assurance to accurate data.
