About The Position

The University of Florida’s George A. Smathers Libraries seek an Associate Director of Human Resources to lead the Libraries Human Resources (LHR) unit. The Associate Director is entrusted with providing equitable support for all library employees, while ensuring compliance with Federal, State, University and Libraries’ policies. This includes interpreting HR policies, providing consultation and advice on HR issues and concerns, and developing and implementing HR strategies. The Associate Director oversees delivery of comprehensive HR services related to Faculty and Staff employee lifecycles. The Associate Director facilitates key processes including tenure and promotion, professional development leave, and employee evaluations. This position supervises 2.6 FTE, including two HR Generalists and Education and Training Specialist.

Requirements

  • Master’s degree in appropriate area of specialization and four years of appropriate experience or a bachelor’s degree in appropriate areas of specialization and six years of experience.

Responsibilities

  • Provides oversight on all aspects of the employee lifecycle, including recruitment, hiring, onboarding, leave, immigration, retention efforts, and offboarding to ensure compliance with federal, state, university, and libraries’ guidelines.
  • Provides analyses and recommendations related to classification, compensation, including reclassification, special pay increases, and salary structures.
  • Ensures the maintenance of personnel records and data housed by the LHR Office is in compliance with established University policies.
  • Ensure that HR transactions are processed in a timely and accurate manner with attention to excellent customer service.
  • Provides reports for library leadership regarding HR actions and trends.
  • Supports faculty in their career progression, providing administrative support during the annual evaluation cycle, midterm, tenure and promotion, and post tenure reviews.
  • Provides administrative support for sabbatical, professional development leave, and faculty enhancement opportunities.
  • Maintains a record of past and future faculty review and eligibility dates and notifies candidates and chairs of upcoming milestones.
  • Provides training and resources to faculty related to faculty career development events.
  • Serves as internal expert for FEA, monitoring updates from the vendor and Office of Academic Affairs and ensuring best practices within the libraries.
  • Works closely with the Libraries Faculty Bylaws Committee to maintain the faculty bylaws and create and maintain supporting procedural documentation.
  • Provides direction and oversees the daily activities and projects of the Human Resources (HR) Office including supervising two full time employees and one part-time (0.60 FTE) employee.
  • Maintains a positive working environment that supports exceptional customer service delivery.

  • Ensures alignment of HR and Training program activities to provide timely learning opportunities for supervisors and employees, educating the libraires community on HR best practices and policies.
  • Works closely with Education and Training Specialist to identify and present a robust schedule of professional development opportunities.
  • Serves as the Libraries resource and liaison on employee relations issues and concerns and partners closely with UF Employee Relations, Director of Administrative Services, and Library Deans.
  • Serves as a trusted resources to the libraries community in order to identify and resolve workplace issues proactively.
  • Advises supervisors on addressing performance issues and developing performance improvement plans.
  • Coordinates Libraries’ participation in the university’s performance management system, the libraries performance management process, and makes recommendations for process improvement.
  • Oversees and manages employee separations and coordinates applicable employee exit (offboarding) activities.
  • Serves as the Libraries HR Liaison, working closely with UFHR to ensure alignment between UF and Libraries’ policies and best practices, and representing the Libraries’ needs at the institutional level.
  • Advises libraries’ leadership of current information and proposed policy recommendations from UFHR.
  • Makes recommendations on initiatives to enhance employee engagement and performance.
  • Contributes toward the libraries change readiness.
  • Serves on pertinent university and libraries’ committees and represents the libraries’ at various state and national associations.
  • Maintains awareness of professional trends and research in the field of Human Resources.
