About The Position

The Associate Director of Athletics, Event Operations has direct oversight and coordination of all aspects of event operations in the Department of Athletics for 38 varsity sports, over 1000 student athletes, and for numerous external constituents from the University and surrounding communities. Requirements

  • Bachelor’s degree required.
  • Minimum of five years experience in event management.
  • Proficient with MS office products (Outlook, Word, Excel, PowerPoint).
  • Demonstrated ability to handle multiple assignments and changing priorities.
  • Ability to effectively interact with a variety of staff, vendors, and suppliers.
  • Strong time management and organizational skills, including the ability prioritize tasks, manage projects and work independently.
  • Highly collaborative and communicative, with strong written and verbal skills.
  • Must have the ability to work evenings and weekends as needed.
  • Commitment to Department of Athletics mission and values of Education Through Athletics.
  • Must have an understanding of, and comply with the rules and regulations of the University, the Ivy League and the NCAA.
  • Experience managing rental groups.
  • Experience with payroll and the ability to develop personnel pools for various hourly positions.
  • Must be CPR/First Aid/AED certified (or be certified prior to employment).

Responsibilities

  • Direct oversight of all operations for athletic and university events utilizing athletic facilities.
  • Develop and coordinate submission of bids for all conferences and postseason (NCAA, IVY, ECAC, NIT, WBIT & ITA) hosting opportunities for athletic teams.
  • Develop policies for all athletic venues and provide signage.
  • Serve as a liaison and provide guidance and support for all Sponsorship, Friends Group, PVC and internal university group events.
  • Work closely with the Associate and Assistant Athletic Directors of Facilities to coordinate the events as it relates to projects to coordinate the set-up, break down and special needs for each event throughout the year.
  • Coordinate and manage tailgates for athletics including arranging for equipment, permits, and communications with university fire marshal, grounds, dining, parking and public safety offices who play an essential role in supporting tailgates.
  • Ensure all event needs for custodial services are scheduled with building services.
  • Provide support to event scheduler to eliminate conflicts.
  • Constant problem solving to coordinate all events across multiple facilities.
  • Assist Deputy Director of Athletics with projects as assigned.
  • Oversee a staff of three Coordinators of Event Operations that includes hiring, training, and conducting annual performance reviews, and indirectly oversee multiple athletic staff members supporting events as assigned to a sport as Game Day Event Manager.
  • Provide unit leadership, personnel oversight, and ongoing professional development for operations staff.
  • Coordinate, train, schedule, supervise, hire and process payment for all event staff (ushers, ticket takers, clock operators, goal judges, monitors, and others) for all athletic events.
  • Effectively manage the coordination of parking on campus for all athletic events with the office of Transportation and Parking Services.
  • Engage as a positive and proactive partner with the Department of Public Safety ensuring events are safe and secure.
  • Provide schedules and communicate dining needs for all events with Campus Dining.
  • Work closely with Environmental Health and Safety and Public Safety to review EAPS, Emergency procedures and best practices for athletic events.
  • Coordinate EMS services for all events.
  • Serve as liaison with the following University Offices in the coordination of events: Public Safety, Transportation and Parking, Dining Services, Building Services, Community and State Affairs, Alumni Affairs, Advancement, Facilities, Health Services and Risk Management.
  • Manage budgets for all event operational costs including parking, security, event staff, equipment purchase, home and special events.
  • Process invoices and purchase items using the University PeopleSoft system.
