About The Position

The College of Engineering's Global Innovation Exchange has an outstanding opportunity for an Associate Director of Admissions and Academic Operations to join their team. Reporting to the Academic Director for MSTI, the Associate Director of Admissions and Academic Operations oversees the full lifecycle of academic and admissions operations for the Full-time Master of Science in Technology Innovation (MSTI) program, the Hybrid MSTI program, the MSTI + Tsinghua University (THU) Dual Degree program, future GIX degree and non-degree programs, and corporate professional development programs. The role ensures that instructional logistics, course delivery systems, faculty coordination, curriculum operations, registration processes, and admissions workflows are executed with accuracy, efficiency, and compliance across multiple UW departments and with international partner institutions.

Requirements

  • Bachelor’s degree in business, social science, English, education, or related field and 4 years of experience in higher education.
  • Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.
  • Strong organizational skills and ability to juggle multiple priorities and projects.
  • Strong interpersonal communication and collaboration skills, with an ability to work with a broad range of individuals, from prospective and current students to faculty, leaders on campus, and professionals.
  • Excellent writing and editing skills.
  • Strong public presentation skills.
  • Eye for detail and high standards of accuracy.
  • Proficiency with the MS Office Suite.

Responsibilities

  • Lead admissions operations for the Full-time and Hybrid MSTI, and the Dual Degree program.
  • Manage admissions systems including serving as Slate PDE, updating and maintaining in good working order MSTI Admissions Data Tool, and CRM tools such as Element451.
  • Oversee admissions timelines, workflows, reviewer assignments, and data accuracy.
  • Manage admissions application reviewers including recruiting, hiring, training, providing rubrics, assigning loads, and monitoring reviewer progress.
  • Manage admissions interviewers including recruiting, hiring, scheduling, providing rubrics, monitoring evaluations, and managing operational workflows.
  • Prepare admissions decisions recommendations, committee materials, data summaries, reviewer reports, and decision documentation.
  • Oversee scholarship award rubric, process, timelines, and candidate communication.
  • Lead admissions cycle prep process by capturing feedback from admissions reviewers, interviewers, stakeholders, and configuring new applications in Slate each cycle.
  • Partner with stakeholders to confirm admission requirements and rubric; providing a set of strategic, data-informed recommendations and next steps.
  • Partner with recruiting team to set admissions deadlines and oversee application fee and enrollment confirmation deposit waivers.
  • Field all admissions and non-MSTI registration questions sent to shared MSTI email account; coordinate coverage when out of office and serve as back-up for all messages when colleagues are unavailable.
  • Provide timely admissions related analytics and reports for program leadership.
  • Serve as the primary point of contact with Tsinghua University regarding academic operations and admissions workflows.
  • Manage cross institution timelines and admissions milestones.
  • Oversee the exchange of academic and admissions data between programs.
  • Facilitate communication and operational alignment between UW faculty and THU administrators.
  • Manage faculty scheduling across MSTI programs by maintaining course schedules, timelines, and academic calendars.
  • Initiate faculty appointments with UW Departments for part-time temporary lecturers, affiliate teaching faculty, or visiting instructors and guest lecturers.
  • Coordinate faculty meetings, workshops, and midpoint faculty check ins to support course delivery.
  • Oversee room reservations, quarterly time schedule submissions, and classroom configurations.
  • Administer midterm and final course evaluations, including set up, distribution, and reporting to program leadership, including aggregate data.
  • Field faculty operational questions, routing requests to appropriate teams (IT/classroom support, finance, facilities, etc.).
  • Oversee Canvas access and auditing for instructors, course assistants, and enrolled students.
  • Oversee DARs mapping for Full-time and Hybrid MSTI cohorts.
  • Maintain academic documentation, internal processes, and SharePoint files.
  • Partner with UW Continuum College (PCE) to ensure registration and policy aligned billing is configured correctly.
  • Oversee non MSTI student registration processes including the creation and distribution of add codes when needed.
  • Provide registration deadlines and updates for the MSTI student newsletter.
  • Maintain and audit academic data across internal systems, including MyGrad, Element451, Canvas, and local databases.
  • Support the academic review processes when needed, providing academic operations documentation and required data.
  • This role provides supervision, assignment of duties, and workflow direction for admissions application reviewers and interviewers.
  • This role provides supervision for Course Assistants.
  • Contribute to budget planning related to academic and admissions processes.
  • Complete ad hoc assignments as needed.
  • Provides functional supervision and workflow direction for Admissions application reviewers, admissions interviewers, and course assistants (Reader/Grader, Tutors. Teaching Assistants, etc.)
  • Manages hiring, onboarding, workload assignments, operational standards, and task oversight.
  • Ensures alignment with UW policies and program operational needs.
