About The Position

The Associate Director of Administrative Services provides high-level support to the Museum Director, managing key administrative functions and projects. This role involves overseeing specific museum departments, including Information Technology, and playing a crucial part in strategic planning, policy development, and external stakeholder relations. The position requires strong leadership, project management, and communication skills to ensure the museum's operational efficiency and strategic goals are met.

Requirements

  • Proven project-management experience in a museum or university environment with strong follow-up capabilities.
  • Exceptional interpersonal and communication skills for engaging a wide range of contacts internally and externally.
  • Excellent organizational skills, multi-tasking ability, and attention to detail.
  • Proficiency in Microsoft Office, Adobe Acrobat, and database systems.
  • Ability to represent the museum with integrity, adhere to policies, and support management decisions positively.
  • Master's degree in an appropriate area and four years of relevant experience; or a Bachelor's degree in an appropriate area and six years of relevant experience.

Responsibilities

  • Define scope, develop work and resource plans, build timelines and budgets, lead meetings, and deliver projects from concept through implementation, including strategic plan and grant projects.
  • Support the Museum Director in research, data analysis, and management of special projects; liaise with internal and external stakeholders to achieve museum objectives.
  • Directly manage certain departments of the museum, including but not limited to Information Technology.
  • Conduct research and collect data for the development and/or revision of museum strategic plans, protocols, policies and procedures and makes recommendations to the Museum Director and staff regarding potential policy changes.
  • Serve as primary contact for external partners including the University of Florida Foundation, AAM, government officials, foundations, and donors.
  • Perform other duties as assigned, maintaining flexibility to support museum operations and initiatives.
