About The Position

The Associate Director, Marketing Operations serves as a critical operational leader within SERB's Commercial organization, responsible for enabling efficient, compliant, and scalable execution of marketing initiatives across multiple products and business units. This role oversees promotional review operations, marketing systems, meeting planning and execution, workflow governance, budget management support, vendor oversight, and operational excellence initiatives. The Associate Director partners closely with Commercial Leadership, Medical Affairs, Regulatory Affairs, Legal, Compliance, Finance, and external partners to ensure promotional activities are executed efficiently while maintaining the highest standards of regulatory compliance. The successful candidate combines deep pharmaceutical marketing operations expertise with strong leadership, process optimization, and project management capabilities. This individual will help build the infrastructure, processes, and team required to support SERB's continued growth.

Requirements

  • Bachelor's degree in Marketing, Business Administration, Life Sciences, or a related discipline.
  • 7+ years of pharmaceutical, biotechnology, healthcare marketing operations, commercial operations, or related experience.
  • Demonstrated expertise coordinating PRC/MLR processes within a regulated pharmaceutical environment.
  • Hands-on experience with Veeva Vault PromoMats.
  • Strong project management, prioritization, and organizational skills in a fast-paced environment.
  • Excellent communication, stakeholder management, and problem-solving skills.
  • Strong attention to detail and ability to manage complex operational workflows.

Responsibilities

  • Develop and execute the marketing operations strategy to support commercial objectives across SERB's portfolio of rare disease and emergency medicine products.
  • Serve as a strategic business partner to Commercial and Marketing Leadership, identifying opportunities to improve speed-to-market, operational efficiency, promotional effectiveness, and compliance.
  • Establish and track operational KPIs, including review cycle times, approval efficiency, material utilization, budget performance, and agency effectiveness.
  • Develop governance frameworks, workflows, and operational standards that enable efficient and compliant execution across business units.
  • Drive alignment across cross-functional stakeholders to ensure operational priorities support broader commercial objectives.
  • Manage all operational aspects of the PRC review process for materials submitted through Veeva Vault PromoMats.
  • Perform quality control (QC) reviews of promotional materials prior to PRC submission to ensure completeness, accuracy, compliance readiness, and adherence to internal standards.
  • Ensure reviewer feedback is appropriately incorporated prior to approval and resubmission.
  • Develop agendas, facilitate PRC meetings, and document reviewer comments and action items.
  • Partner with Marketing Leadership to prioritize material submissions and align review timelines with business needs.
  • Act as the primary liaison among Regulatory, Legal, Medical, Compliance, Commercial teams, and external agencies to ensure SOP-compliant review processes.
  • Coordinate support for OPDP submissions as required.
  • Oversee promotional material lifecycle management, including approval tracking, re-approvals, expiration management, and archiving.
  • Manage the movement of materials through electronic review workflows in accordance with PRC SOPs and established timelines.
  • Ensure all submissions meet required review criteria prior to circulation.
  • Maintain appropriate linkage of references, claims substantiation, and related materials within Veeva PromoMats.
  • Reconcile, clarify, and coordinate reviewer comments to facilitate efficient approval processes.
  • Schedule and coordinate meetings supporting promotional review activities.
  • Establish and maintain systems to monitor document lifecycle status, workflow efficiency, and compliance.
  • Lead planning and operational execution of National Sales Meetings (NSMs), POAs, launch meetings, and other commercial meetings.
  • Manage timelines, logistics, attendee registration, vendors, internal coordination, and on-site execution support.
  • Oversee meeting-related budget tracking and reconciliation.
  • Partner with cross-functional stakeholders to ensure meeting objectives are achieved efficiently and compliantly.
  • Support appropriate documentation and transparency reporting requirements associated with commercial meetings and events.
  • Lead, coach, and develop future Marketing Operations team members while fostering a collaborative and high-performance culture.
  • Support the professional growth and development of direct reports and cross-functional team members.
  • Provide oversight and direction for operational activities, including promotional material fulfillment, congress support, and related marketing operations initiatives.
  • Drive consistency, accountability, and compliance across operational processes.
  • Serve as business owner for marketing operations platforms, including Veeva Vault PromoMats and related systems.
  • Train internal stakeholders and external partners on tools, workflows, and SOP requirements.
  • Monitor system utilization and adoption to ensure efficient and compliant execution.
  • Identify workflow bottlenecks and opportunities for automation and process enhancement.
  • Partner with relevant stakeholders to implement scalable technology solutions that improve operational effectiveness.
  • Identify opportunities to improve workflow efficiency, resource utilization, and execution quality.
  • Develop standardized processes, templates, and best practices across brands and business units.
  • Implement dashboards and reporting tools to provide visibility into operational performance.
  • Lead continuous improvement initiatives that enhance scalability, quality, and compliance.
  • Champion modernization efforts, including the thoughtful adoption of automation and artificial intelligence tools where appropriate.
  • Track and manage designated marketing budgets to ensure alignment with approved plans.
  • Partner with Finance and Marketing Leadership to support budget planning, forecasting, and resource allocation.
  • Analyze operational and marketing data to identify trends and opportunities for improvement.
  • Develop reports and performance dashboards to support leadership decision-making and business planning.
  • Ensure adherence to PRC SOPs, internal policies, regulatory requirements, and established review timelines.
  • Identify and escalate compliance risks or instances of non-compliance to appropriate leadership.
  • Partner with relevant stakeholders to ensure appropriate Sunshine Act and transparency reporting requirements are met.
  • Develop and implement SOPs, workflows, and governance processes that support compliant and efficient marketing operations.
  • Maintain audit-ready documentation, records, and operational practices.
  • Oversee vendor and agency relationships supporting marketing operations activities.
  • Manage statements of work, operational expectations, performance evaluation, and budget accountability.
  • Ensure vendor partners comply with SERB policies, procedures, and quality standards.
  • Perform other operational projects and responsibilities as assigned based on evolving business needs.
