This position is responsible for performing a broad range of moderately complex clerical, office, and administrative duties utilizing established office/department procedures. The role involves assisting with printing and preparing checks, invoices, and purchase orders for mail. It also includes collecting and distributing mail, routing messages, and setting up appointments/meetings. The Assistant Travel Coordinator will type, maintain data files (electronic and hard copies), and enter information into databases. They will also collect, review, and input data into a computer processing system, auditing output data. Additional responsibilities include preparing, sending, and receiving batches from storage, assisting accounting clerks, ordering and maintaining supply room inventory, and using various software applications or automated office equipment to track or maintain data. The role requires coordinating efforts to resolve issues or provide customer service to field offices, sales, and in-house departments, as well as providing general clerical support. The Assistant Travel Coordinator will compose non-routine correspondence, reports, graphs, and presentations, and process and track department costs and expenditures. They will also coordinate training events, schedules, notifications, and registrations, and collect/maintain employee training records. Furthermore, the position involves authoring ISO procedures and work instructions, and maintaining appropriate department documents, forms, and references. A key responsibility is reviewing outgoing materials and correspondence for internal consistency and conformance with department policies.
