About The Position

Under the general direction of the Town Clerk and/or the Deputy Town Clerk, this role provides a wide variety of administrative, technical, and clerical support for the Town Clerk’s Office. The position involves handling complex assignments independently, preparing correspondence and reports, and performing tasks that require independent judgment and initiative. Responsibilities include assisting in budget preparation, acting as a liaison, performing financial and statistical record keeping, and handling cash. The role also involves cross-training and assisting in training others, taking minutes for meetings, maintaining confidentiality, and performing related duties as assigned. Department-specific duties include recording and updating land records, producing daybooks and indices, registering voters, issuing licenses and certifications, sharing election duties, preparing election materials, and training the elected Town Clerk alongside the Deputy Town Clerk.

Requirements

  • Knowledge of office procedures and principles of office management and or record keeping
  • Strong computer skills with an emphasis on Word and Excel
  • Ability to respond courteously to the public
  • Ability to follow oral and written instructions
  • Ability to learn appropriate State and Town laws
  • Clear and concise written and oral expression
  • Accuracy and attention to details
  • Ability to lift and carry up to 25 lbs.
  • Able and willing to become a Notary Public after hire
  • Able and willing to obtain State of CT Town Clerk Certification after hire
  • High School Diploma or GED
  • Three (3) years recent office experience in a Town clerk’s office; or three (3) years recent experience as a real estate paralegal or real estate legal secretary for a law firm; or three (3) years recent experience as a title searcher
  • Applicants must be citizens of the United States or must present proper authorization to work in the United States by the closing date.

Nice To Haves

  • May act as Town Clerk in the absence of both Town Clerk and Deputy Town Clerk, or act as their designee.

  • Produces daybook and timely computerized indices for searching
  • Registers new voters after registrar hours and supervises the issuance of absentee ballots at election time
  • Issues licenses and/or certifies copies of deeds, burial permits, vital statistics certificates, and records trade names
  • Shares work at election time under current statutes and prepares election reports and material (kits) for Election Day use
  • Along with the Deputy Town Clerk, trains the elected Town Clerk
