Exciting Opportunity at MSK: We are seeking a highly organized and proactive Assistant to Chair to support the Chair of the Chemical Biology program. This role is pivotal in ensuring the smooth operation of the Chair’s office by managing complex scheduling, communications, office, special projects, and Tan lab operations. The ideal candidate will be an adaptable, reliable, strategic thinker with excellent communication skills and the ability to manage multiple priorities in a fast-paced environment.

Requirements

  • Proven experience in a high-level administrative, executive assistant, or research administration role supporting senior leadership, faculty, or research programs.
  • Strong organizational skills with the ability to manage multiple priorities, anticipate the needs of the Chair, and coordinate complex activities in a fast-paced environment.
  • Excellent written and verbal communication skills, with the ability to interact professionally with investigators, trainees, institutional partners, and external collaborators.
  • Demonstrated ability to work independently, exercise sound judgment, and manage sensitive and confidential information with discretion.
  • Ability to quickly learn new systems, processes, and workflows, with strong attention to detail and commitment to accuracy.
  • Proficiency in Microsoft Office Suite, Zoom, Slack, EndNote, and other administrative or collaboration tools.

Responsibilities

  • Ensure the smooth flow of communication between investigators, laboratory members, institutional contacts, and external collaborators.
  • Exhibit a strong understanding of laboratory operations and manage day-to-day administrative activities to support efficient operations.
  • Coordinate and manage the Chair’s calendar, program meetings, conference calls, and travel arrangements.
  • Prepare agendas and meeting materials to ensure the Chair is well-prepared for all engagements.
  • Coordinate key programmatic activities for the Tri-Institutional PhD Program in Chemical Biology (TPCB), including admissions calls, Open House planning and logistics, seminar course coordination (including Journal Club scheduling and recordings), Research Seminar Series (RSS) agenda preparation and lunch coordination, and logistical support for the TPCB and Gin Symposia.
  • Manage payroll and oversee the administrative lifecycle of laboratory personnel, including RAAD appointments, onboarding, promotions, offboarding, and postdoctoral lifecycle management.
  • Coordinate Friday Group Meetings and other recurring laboratory and research meetings.
  • Provide administrative support for grant submissions, including reference management using EndNote and preparation of supporting documentation.
  • Manage office supplies, inventory, equipment, and software to ensure optimal functionality.
  • Submit and track expense reports, purchase requisitions, reimbursements, petty cash requests, and other administrative forms.
  • Oversee laboratory operations, including inventory management, equipment maintenance, supply procurement, and shipment coordination for lab, tracking, and international shipments.
  • Coordinate laboratory meetings, facilitate onboarding for laboratory personnel, and ensure compliance with institutional policies.
  • Purchase capital equipment, including laboratory and computer equipment, and maintain inventory and maintenance records.
  • Manage recommendation letter requests for the Chair, including tracking deadlines, organizing supporting materials, and providing editing support as needed.
  • Manage financial administrative processes, including submitting reimbursement requests for laboratory personnel, reconciling and maintaining the Chair’s corporate credit card, and monitoring expense submissions to ensure timely follow-up and resolution.
  • Assist with special projects and program initiatives as needed.
