About The Position

The Road Operations and Maintenance team at Peel Region is dedicated to ensuring the safety, efficiency, and reliability of the Region's roadways. This team is responsible for a wide range of activities, including road repairs, snow removal, and overall road safety. Our work is crucial in maintaining smooth transportation routes, minimizing disruptions, and enhancing overall public safety on the roads. The Role: You will report to the Supervisor of Road Maintenance and provide crucial administrative support to the Supervisor, Foreperson, and Technical Analyst. You will act as a liaison, addressing operational concerns and facilitating communication between internal and external clients.

Requirements

  • Graduation from secondary school plus additional relevant business courses
  • One to three years related office administration experience. An equivalent combination of education and experience may be considered.
  • Well developed communication skills and customer service skills.
  • Demonstrated judgement skills to solve problems or conflicts.
  • An effective team player with the ability to work independently with minimal supervision.
  • Good judgment, tact, and professionalism.
  • Proficiency in Microsoft Office.
  • Strong customer service skills and experience, administrative, organizational and time management skills.
  • Ability to work well under pressure and to display initiative.
  • Demonstrate a commitment to diversity, equity, and inclusion through continuous development, modeling inclusive behaviors, and proactively managing bias.

Nice To Haves

  • Knowledge of practices and procedures within Transportation – Road Maintenance would be considered a strong asset.
  • Proficiency with Hansen would be considered a strong asset.

Responsibilities

  • Data entry into Hansen system including Daily Work Orders and Payroll.
  • Prepare forms and invoices for signature by the Supervisor and Forepersons.
  • Maintain training records, absences, vacation records and sick leave for Roads staff.
  • Order office supplies and reconciles the P-card purchases.
  • Prepare and process forms for WSIB claims, STD claims at the request of the Forepersons Supervisors and Manager.
  • Provide general office duties as assigned by the Supervisors or staff of the Roads Section.
  • Provide customer service to internal and external clients to resolve issues through use of email, phone, fax, two-way radio.
  • Prepare meeting requests, agenda and minutes for a variety of meetings.
  • Maintain maintenance records for work completed by contractors and region staff.
  • Maintain and keeps up to date the WHMIS binders and information for the Roads Section
