About The Position

The Assistant Relocation Project Manager is responsible for the successful outcome of move projects, ensuring customer satisfaction, effective move communication, and transparent cost reconciliation for all move-related activities. This role involves meeting financial objectives through forecasting, budgeting, expenditure scheduling, variance analysis, and corrective actions. The position collaborates with the Occupancy Planning Manager to guide the move team through all move activities and participates in initial customer meetings. A key aspect of this role is acting as a change agent by reviewing and proposing improvements to current processes, policies, and practices.

Requirements

  • College preferred, but not required, with at least 3 years of experience in a corporate environment.
  • Minimum 2 years of supervisory experience in a related field.
  • Proficiency in a range of information technology tools and platforms.
  • Strong analytical, organizational, and presentation skills.
  • Excellent written and verbal skills.
  • Candidates must be authorized to work in the United States without sponsorship.
  • Must be able to work on-site in Chicago, IL.

Responsibilities

  • Schedule and run pre-move meetings, providing timelines, strategy, and schedules.
  • Collaborate with supply chain and run the RFP for the move project.
  • Schedule movers and alert security, providing all names for badging.
  • Schedule disconnects and reconnects of computer, servers, printers, and phones.
  • Be on-site for all vendors and customers during the move.
  • Review completed moves and make adjustments with vendors.
  • Submit service tickets for space cleaning, and delivery of keys and chairs.
  • Schedule and run post-move rooms and activities.
  • Plan, budget, oversee, and document all aspects of specific projects.
  • Provide welcome communications with information on new locations and site services.
  • Schedule vendors for scrap pickup, recycle or reuse excess furniture, and remove chairs.
  • Provide punch lists to vendors with open items.
  • Coordinate pickup of crates and/or boxes.
  • Clear contents of origin locations and prepare for subsequent group moves.
  • Create and maintain comprehensive project documentation.
  • Meet with administrators and team managers to discuss and guide them through move logistics, blocking, and details.
  • Define project scope in collaboration with senior management.
  • Update move matrix, fill in customer information, and technical requirements.
  • Assess cubicle conditions and order missing parts or arrange for ergonomic changes.
  • Receive, compile, and scrub move lists for potential issues.
  • Review furniture layouts and determine locations for files and storage.
  • Ensure delivery of boxes, move labels, post pin-ups, and move instructions.
  • Determine mobile locations and prepare furniture for drop-in stations.
  • Manage, develop, and supervise a professional, friendly, creative, energetic, and detail-oriented team in delivering extraordinary events.
  • Provide excellent onboarding, training, and team building.
  • Actively support an environment of teamwork, cooperation, performance excellence, and personal success.
  • Participate in the individual performance management program and personal development planning for team members.
  • Align with the facilities leadership team as a manager and act in a managerial capacity for site-related matters.
