About The Position

The office of the Registrar serves as the official custodian of records for the college. This position demonstrates daily Burrell College of Osteopathic Medicine's value for respect, trust, integrity, and commitment. The Assistant Registrar assists and supports the Registrar in all operations, processes, and other administrative duties. The Assistant Registrar provides technical support to the Registrar's Office, with a particular emphasis on data integrity, best practices, streamlining processes, and documentation as they relate to the student information system. This position is exempt. This position reports to the Registrar. The salary for this position starts at $50,000 annually, depending on experience.

Requirements

  • Excellent organizational, analytical, and administrative skills are essential along with the ability to effectively communicate with various constituencies.
  • Knowledge of student information systems, preferably CAMS/Elements, and experience working with records management and student information system integration, in a college or University setting as well as knowledge of the operational and functional aspects of student systems and integration with other campus systems.
  • Knowledge of the Family Educational Rights and Privacy Act (FERPA), academic standards, and protocol
  • Familiarity with Registrar best practices related to records and registration policies and procedures.
  • Strong working knowledge of Microsoft Office applications and other similar types of software programs.
  • Demonstrated ability to foster collaboration and effective communication across diverse groups of constituents, including current and former students, parents, faculty, and staff.
  • Bachelor's degree required.
  • 3+ years of work experience required in a similar role.
  • Applicants must currently be authorized to work in the United States on a full-time basis.

Responsibilities

  • Assists in maintaining physical and computerized student records from matriculation to graduation.
  • Assists with the leaves of absence, administrative withdrawal, withdrawal, and transfer processes. These processes involve interpreting and applying College policies and communicating decisions to students and staff.
  • Assists the process of updating course guidelines and course descriptions.
  • Provide quality control checks on the course catalog, programs, and classes which include maintaining relevant course co/perquisites and other restrictions.
  • Assist the Registrar with course registration and grade recording in the student information system to include the change of grade process.
  • Drafts and sends mass electronic communications to various student populations regarding issues such as background/drug screening, graduation application, etc.
  • Collaborates with the Office of Clinical Affairs to monitor student performance during the clinical curriculum.
  • Updates clinical students’ statuses in the student information system and sends proactive notifications to students regarding status changes.
  • Have knowledge and understanding of college academic policies and curriculum and implement them by communicating them effectively and working creatively to help students achieve their goals without violating policies. This includes monitoring student progress toward meeting degree requirements.
  • Assists in degree audit reviews.
  • Assists in Graduation Exit process
  • Assists with the coordination and execution of events including White Coat and Commencement ceremony.
  • Assure responsiveness of the Office of the Registrar functions to the overall needs of the college, students, faculty, and administrators.
  • Interest in, and the ability for, problem-solving.
  • Ability to initiate and nurture collaborative partnerships.
  • Perform other duties as assigned.
