About The Position

The Assistant Property Manager assists the Property Manager in effectively managing the assigned property. In the Manager's absence, the Assistant Manager assumes all responsibilities associated with accomplishing property objectives. The Assistant Manager is directly responsible for maintaining daily, weekly, and monthly reports, including accurate reporting of rents and deposits received. All business must be conducted in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act, and all other laws pertaining to apartment home communities.

Requirements

  • Minimum one year experience in property management.
  • Skills in accounting, sales, customer service, and marketing required.
  • Knowledge of computer and office communication systems required.
  • Basic knowledge of Microsoft Word, Excel, and Outlook required.
  • Forty (40) hours per week required.

Nice To Haves

  • Knowledge of Property Solutions Property Management software preferred.
  • Weekends and early evenings may be required.

Responsibilities

  • Maintains accurate resident records, updating daily on rents, deposits, and application fees received.
  • Completes Bank Deposit Log for Corporate Office daily and deposits all receipts prior to bank close each day.
  • Issues appropriate notices for late payments, evictions, and returned checks.
  • Tracks all delinquent rents and prepares collection letters and legally required collection papers.
  • Coordinates eviction processes and prepares resident files for submittal.
  • Opens, date stamps, and prepares invoices for Property Manager's approval.
  • Trains all leasing staff in operating procedures of the Leasing Office.
  • Maintains a positive customer relations attitude.
  • Physically inspects property, picks up litter, reports service needs to maintenance, and inspects move-outs and vacant units.
  • Prepares a list of residents with expiring leases, verifies delivery of renewal letters, and prepares renewal leases.
  • Maintains Unit Availability List weekly and communicates to the Director of Sales.
  • Works with lease renewals each month.
  • Greets prospective residents, shows property, and performs leasing duties as needed.
  • Answers and handles incoming phone calls from prospective residents, current residents, vendors, and co-workers.
  • Maintains awareness of local market conditions and trends, contributing ideas for marketing and resident satisfaction.
  • Maintains sales office organization and procedures regarding accounting and resident services.
  • Prepares and updates required reports concerning move-out notices and activity on a daily, weekly, and monthly basis.
  • Organizes and files all applicable reports, leases, and paperwork.
  • Proofs all lease paperwork and processes move-ins and move-outs.
  • Audits new lease files monthly.
  • Processes all Final Account Statements for review by the Property Manager.
  • Accepts service requests from residents and routes them to maintenance, conducting service follow-up.
  • Inputs move-out information into the computer and prepares move-out files for corporate accounting within three days of move-out.
  • Transmits files to RPB or corporate accounting office in a timely and organized manner.
  • Performs any additional duties assigned by the Property Manager or Director of Property Management.
