We are seeking an Assistant Property Manager to support a premier Class A office environment in the heart of downtown Milwaukee. Requirements

  • 2 to 3 years of property management experience
  • Strong financial acumen with exposure to budgeting, reporting, accounts payable, collections, and tenant billing
  • Experience working with vendors, contracts, and building operations
  • Excellent customer service and relationship-building skills
  • Strong organizational and time management abilities
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities while maintaining attention to detail
  • Experience with property management, accounting, budgeting, and work order systems preferred
  • A proactive mindset, strong work ethic, and desire to learn

Responsibilities

  • Be generally familiar with the property, including tenant locations and building mechanical rooms
  • Respond to tenant questions or route requests to the appropriate team members
  • Assist with tenant move-ins and move-outs
  • Assist with running and troubleshooting amenity spaces and their systems
  • Be familiar with ongoing construction and property projects to understand their impact on tenants and recurring services
  • Assist with preparation for ownership and lender tours and inspections
  • Understand corporate and ownership requirements and ensure operational practices remain compliant
  • Oversee operational contracts
  • Bid and award recurring service contracts
  • Manage relationships with onsite personnel and contracting parties
  • Confirm work is being performed according to contract requirements
  • Communicate deficiencies, praise, and contract changes with vendors
  • Confirm billing aligns with contract terms
  • Develop an in-depth understanding of budgeted amounts, projects, goals, and overall property strategy
  • Make recommendations that support property spending and reforecasting objectives
  • Assist the Property Manager with coaching the property team on accounting systems and processes, including purchase orders and rent rolls
  • Serve as a second-level approver of accounts payable invoices
  • Assist and supervise collection efforts and recommend escalation strategies when necessary
  • Prepare monthly accruals and reclasses
  • Assist and supervise monthly charge reports and billing statement creation
  • Assist with monthly reporting preparation and review
  • Assist with monthly uploads of actual expenses and tenant CAM billings into reforecasting systems
  • Support reforecasting of income and expenses
  • Partner with the property team to create and manage annual budgets
  • Assist with ownership and lender reporting
  • Participate in lender reimbursement draw preparation
  • Assist with CAM estimate creation and annual true-ups
  • Help answer tenant questions regarding CAM estimates and reconciliations
  • Assist with monthly work order billing
  • Participate in leasing activities as needed, including prospective broker tours
  • Gather information for leasing proposals
  • Assist with lease abstracts and onboarding of new leases
  • Develop a working understanding of lease language and apply lease provisions to accounting and operational questions
  • Understand and utilize required accounting, budgeting, and work order software systems
  • Obtain necessary licenses and certifications for the position
  • Recommend and pursue training and educational opportunities
  • Participate in staff, corporate, ownership, and stakeholder meetings as needed
  • Perform other duties as assigned
