About The Position

As an Assistant Project Manager (APM), you will contribute to the delivery of interior fit-out projects within the retail, commercial real estate, and corporate workplace sectors, from the planning phase through to project close-out. Working closely with Project Managers and Senior Project Managers, you will be involved in coordinating design, procurement, construction, furniture installation, technology integration, commissioning, and occupancy activities, gaining hands-on experience across the entire project lifecycle. You are an organized, detail-oriented, and proactive individual with excellent communication and stakeholder management skills. You thrive in a dynamic, client-focused environment and are eager to develop your project management skills while contributing to the success of multiple concurrent projects. This is a hybrid role based in Toronto, Vancouver, or Montreal. We also welcome applications from individuals located elsewhere in Canada who are willing to relocate to one of these cities.

Requirements

  • Bachelor's degree in Engineering, Architecture, Construction Management, Business Administration, Project Management, or a related field. Relevant experience may be considered in lieu of a degree.
  • 3 to 5 years of experience in project coordination, project management, construction administration, or a similar role.
  • Experience in supporting interior fit-out projects for retail, commercial real estate, workplaces, corporate offices, leasehold improvements, or fit-out projects is highly desired.
  • Good understanding of construction project lifecycle, project controls, planning, budgeting, procurement, and contract administration.
  • Ability to read and interpret construction drawings and project documentation is an asset.
  • Experience coordinating consultants, contractors, vendors, and multiple stakeholder groups.
  • Excellent organizational and time management skills, with the ability to manage multiple priorities simultaneously.
  • Excellent interpersonal skills and strong written, verbal, and presentation communication abilities.
  • Strong analytical, problem-solving, and critical thinking capabilities.
  • Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and project management platforms.
  • Experience using web-based project management and collaboration tools.
  • Availability to travel to project sites as needed.

Nice To Haves

  • CAPM certification, training towards PMP certification, or progress towards a professional project management certification is an asset.

Responsibilities

  • Support the delivery of interior fit-out projects within the retail, commercial real estate, and corporate office sectors throughout the project lifecycle.
  • Assist Project Managers with planning, budgeting, scheduling, procurement, construction, furniture installation, workplace transitions, and project close-out activities.
  • Coordinate project information between clients, consultants, contractors, landlords, vendors, and internal team members.
  • Contribute to the development and updating of project schedules, action logs, risk registers, and project budgets.
  • Participate in design reviews and assist in coordinating architectural, engineering, and construction documentation.
  • Support workplace transformation initiatives, leasehold improvements, office relocations, and renovations of occupied spaces.
  • Help coordinate the installation of furniture, audio-visual (AV), security systems, structured cabling, and IT infrastructure.
  • Contribute to identifying project risks and issues, potential impacts on schedule or budget, and escalate concerns as needed.
  • Build and maintain strong working relationships with clients, consultants, contractors, vendors, facilities teams, corporate real estate stakeholders, and workplace services teams.
  • Participate in project meetings, prepare agendas, and record minutes, ensuring follow-up on actions and outstanding deliverables.
  • Contribute to project communications and reporting to keep stakeholders informed of progress.
  • Support the preparation of executive dashboards, presentations, and project progress reports.
  • Participate in procurement activities, including tendering for consultants and contractors, evaluating submissions, and making recommendations.
  • Assist in the preparation of purchase orders, contracts, change orders, and service agreements.
  • Contribute to budget tracking, financial forecasting, invoice verification, and payment processing.
  • Maintain project financial records and support reporting requirements.
  • Participate in tracking project expenditures and identifying budget variances.
  • Attend site visits to monitor work progress, quality, safety, and compliance with project requirements.
  • Contribute to documenting site observations and tracking deficiencies and remedial actions.
  • Support commissioning activities, furniture installation coordination, and planning for space occupancy readiness.
  • Participate in managing punch lists and project handover and close-out activities.
  • Ensure project documentation is maintained in accordance with client governance requirements and document control standards.
  • Keep project files, schedules, issue logs, risk registers, and tracking dashboards up to date.
  • Contribute to monthly reports and program updates.
  • Support lessons learned sessions and the finalization of project close-out documentation.
