About The Position

The Assistant Project Coordinator supports the Project Coordinator, Project Managers, and Operations team with administrative and project-related tasks to help ensure projects remain organized and operate efficiently.

Requirements

  • Previous administrative or construction-related experience preferred
  • Strong organizational and time management skills
  • High attention to detail and accuracy
  • Strong communication and teamwork skills
  • Ability to multitask in a fast-paced environment

Responsibilities

  • Assist Project Coordinators and Project Managers with daily administrative tasks
  • Organize and maintain project files and documentation
  • Assist with updating project schedules and tracking logs
  • Prepare project reports and spreadsheets
  • Maintain accurate digital and physical records
  • Assist with coordinating material and equipment deliveries
  • Support travel scheduling for field crews
  • Help monitor project deadlines and outstanding items
  • Assist with permit and compliance documentation
  • Track receipts and project expenses
  • Coordinate lodging accommodations
  • Communicate professionally with vendors, customers, and field personnel
  • Communicate with project estimators during the planning phase to coordinate lodging by researching options and securing the best rates
  • Support coordination between office staff and field operations
  • Escalate project concerns or missing information when necessary
  • Maintain organized communication throughout project workflows
