About The Position

Northern Essex Community College (NECC) is seeking an Assistant Program Manager for its Center for Corporate and Community Education (CCCE) at the Haverhill Campus. This full-time, non-unit professional position reports to the Program Manager of Corporate Education. The Assistant Program Manager will be responsible for managing the execution and servicing of education and training programs for businesses and organizations in the Merrimack Valley. This role involves acting as a liaison between the Center and its corporate clients, as well as with instructors, to ensure the seamless implementation of programs. The position requires excellent customer service, the ability to use client and instructor feedback for program refinement and development, and a thorough understanding of the software applications and processes that support the Center's offerings.

Requirements

  • Bachelor's degree
  • 3-5 years of experience with institutes of higher education and/or business to business sales or an equivalent combination of education and experience
  • Strong organizational and problem-solving skills with attention to detail
  • Excellent verbal and written communication skills
  • Proven ability to work independently and take initiative in carrying out assigned tasks reliably and accurately
  • Ability to maintain confidentiality of financial, personnel, and payroll information
  • Computer skills (Microsoft Office Suite, Student Information Systems)
  • Ability to work in a dynamic environment of rapidly changing priorities

Responsibilities

  • Coordinate logistics for instructor sourcing, curriculum development, and delivery.
  • Prepare training materials for instructors.
  • Liaise with instructors and clients to coordinate class logistics, equipment, materials, and locations.
  • Manage invoicing and confirm revenue collection status.
  • Proactively manage instructor and customer expectations and provide excellent customer service.
  • Oversee and ensure accurate documentation of corporate education student registrations.
  • Utilize NECC software applications (e.g., 25 LIVE, Banner, Destiny One, Raiser's Edge, Training Pro, workforce databases) for room reservations, contact tracking, and course implementation.
  • Track contract terms and classes using calendars, spreadsheets, and other departmental documents.
  • Review course evaluations for strategic evaluation, refinement of current offerings, and development of new ones.
  • Collaborate with other community college workforce development colleagues on assigned projects.
  • Represent NECC and CCCE at industry and community meetings and events.
  • Assist the Program Manager in meetings with companies and organizations throughout the contract process, including discovery, check-ins, and debrief meetings.
  • Work with the Program Manager to develop and administer training contracts.
  • Collaborate with Community Education and other internal departments for program development, implementation, marketing, and data gathering for reporting.
  • Accurately develop, compile, complete, and distribute Request to Employ (RTE) forms, instructor offer letters, and HR/Payroll documentation.
  • Compile and submit contract instructor/vendor payroll spreadsheets.
  • Assist in the development of budget projections for Corporate Education.
  • Monitor and report on budgets for state and federal grants within the department.
  • Develop and execute strategies to acquire and retain corporate customers.
  • Collaborate with the marketing team to produce promotional materials.
  • Update Corporate Education website pages.
  • Identify departmental inefficiencies and lead efforts to propose and implement corrective actions.
  • Assist with special projects as needed.
  • Maintain current knowledge of trends and practices in the field.
  • Perform other duties as assigned.
