About The Position

This role provides continuity in leadership within the Maintenance Manager's absence. The Assistant Maintenance Manager will offer additional leadership and interaction with all shift supervisors, including utility and service writers. This position involves skills assessment of current staff, direct interaction with the corporate training team, and identifying/developing training curriculum based on these assessments. The role includes monitoring employee development progress and future training needs, fostering direct communication across all shifts, and performing root cause analysis on road calls to identify corrective actions for continuous improvement. Accountability extends to ensuring service peak availability requirements and quality inspections are met on the 2nd and 3rd shifts. This includes managing scheduling, diagnosing issues, prioritizing job assignments, monitoring estimated repair times, and ensuring all maintenance administrative requirements are managed accurately and timely for these shifts. Safety is paramount, ensuring adherence to all OSHA and company safety policies and procedures, compliance with safety training, and inspection/availability of safety equipment and tooling. The role also involves interacting with client personnel during second and third shifts, serving as a member of the Management Team, participating in client meetings, policy/planning development, and assuring departmental conformance to contractual requirements. This includes identifying and monitoring contractual KPIs and communicating performance and improvement plans regularly with supervisors and staff. Fleet management responsibilities include meeting out-of-service targets on 2nd and 3rd shifts, managing vehicle/parts warranty, and supporting third-party audits. The role also plans, directs, and ensures compliance with scheduled/periodic inspections of vehicles, providing input for revisions based on operational needs, and ensuring QA requirements are met. People management includes providing leadership and direction to 2nd and 3rd shift staff, coordinating work, prioritizing assignments, conducting performance evaluations, making hiring/termination/disciplinary decisions, and identifying/scheduling training needs in coordination with the Corporate Training Team. Communication is key, ensuring open and transparent communication with staff, providing frequent updates to operations/dispatch and maintenance/utility supervision, and inputting on union-related issues. Facility/equipment responsibilities include providing input on facility projects, organizing and directing maintenance and repair of equipment, facilities, and grounds, and managing inspections. Material/vendor interactions occur as needed, monitoring vehicles waiting for parts, ensuring warranty/core parts are returned, and securing parts inventory. Data management includes directing and monitoring service writers and ensuring CMMS operating systems are managed properly and updated in real-time. Workshop process management involves ensuring KIHM compliance, monitoring production plan progress, reviewing rescheduled repairs, performing root cause analysis on road failures, assigning jobs based on skillset, conducting Gemba Walks, monitoring/assisting with troubleshooting, establishing standard repair times, performing QA inspections, and managing compliance with scheduled maintenance and detailing. Driver inspection reports are managed and prioritized daily.

Requirements

  • Proficient in MS Office Suite of products (Outlook, Excel, Word, and Power Point).
  • 2 years prior fleet maintenance experience.
  • Min 6 months prior supervisory experience.
  • Experience with Trapeze Fleet Focus or similar workflow and/or inventory tracking program.
  • Experience with general web interface program(s).
  • Proficient verbal and written communication skills.
  • High School Diploma or equivalent.
  • Must be authorized to work in the United States.
  • Ability to pass a pre-employment drug screen and a physical examination.
  • Ability to pass a background check.

Responsibilities

  • Ensure all company and regulatory safety training compliance.
  • Ensure all required safety equipment/PPE is inspected and available.
  • Ensure all equipment and tooling is inspected and maintained.
  • Interact with client personnel during second and third shift.
  • Serve as a member of the Management Team and participate in Client meetings, policy/planning development.
  • Assure departmental conformance to the Contractual Requirements managing Client values, goals, and objectives.
  • Assume all responsibilities of the Maintenance Manager during their absence.
  • Identify and monitor contractual KPI.
  • Communicate performance and Improvement plans regularly with Maintenance/Utility supervisors and staff.
  • Ensure Out of service targets are met on 2nd and 3rd shifts.
  • Manage vehicle / parts warranty.

  • Plan, direct, and ensure compliance with scheduled/ periodic inspections of vehicles with maintenance /utility supervisors during 2nd and 3rd shifts.
  • Provide input to Maintenance Manager on revisions based on operational needs.
  • Ensure QA requirements are met on 2nd and 3rd shifts, review results with supervisors and share with the team.
  • Provide leadership and direction to 2nd and 3rd shift maintenance and utility supervision and departmental staff.
  • Coordinate work with external agencies.
  • Prioritize and assign work.
  • Conduct performance evaluations / skills assessments.
  • Ensure that employees follow policies and procedures and make hiring, termination, and disciplinary decisions and recommendations.
  • Identify and provide/schedule training needs based on skills assessment review with Supervisors.
  • Coordinate identified training needs with Corporate Training Team, developing training curriculum based on assessment review.
  • Monitor training progress and skillset development.
  • Review and communicate training progress and skills development with Supervisors, employees and Corporate Training Team and assess next course of action.
  • Ensure open and transparent communication with staff.
  • Communicate and provide frequent updates to Operations/Dispatch and Maintenance / Utility supervision during 2nd and 3rd shifts.
  • Provide input to Maintenance Manager on union related issues.
  • Ensure daily Team Communication is conducted.
  • Provide weekly Trend Analysis/Feedback on KPI performance during 2nd and 3rd shifts.
  • Provide input to Maintenance Manager related to facility projects.
  • Organize and direct the maintenance and repair of all equipment, facilities, and grounds.
  • Manage scheduled/ periodic inspections of Facilities and grounds, tooling and equipment operated.
  • Ensure facility and shop equipment are clean, organized and in safe operating condition during the 2nd and 3rd shifts.
  • Interact with vendors as needed during the 2nd and 3rd shift.
  • Monitor vehicles waiting for parts to ensure timely repairs when the parts are delivered.
  • Ensure all warranty and core parts are tagged and returned to the parts dept.
  • Ensure parts inventory is secured and access is controlled during the 2nd and 3rd shift.
  • Direct and monitor service writer.
  • Ensure CMMS operating systems (RTA, Transit Check, Trans Trac, etc..) and maintenance administrative requirements are managed properly and updated in real time during 2nd and 3rd shifts.
  • Ensure work orders are complete and accurate to include Complaint, Cause and Correction detail information, and each workorder line is allocated using the appropriate VMRS coding for the job performed.
  • Ensure 100% KIHM compliance and participation across all shifts.
  • Monitor Weekly Production Plan progress, adjust as necessary to maintain vehicle availability as per contractual/ client requirements.
  • Review and monitor daily rescheduled repairs that were waiting on parts, PM follow up etc... and schedule for completion to minimize down time.
  • Perform root cause analysis on road failures and develop corrective actions to address fleet performance issues.
  • Assign jobs according to skillset to maximize quality and efficiency.
  • Monitor shop activities conducting Gemba Walks.
  • Monitor and assist with troubleshooting and diagnostics.
  • Establish and monitor Standard repair times for jobs assigned.
  • Perform QA inspections, and ensure Quality / compliance is adhered to for PMI, Road Call and Repairs.
  • Manage compliance with scheduled maintenance service intervals and Utilities BI- annual detailing of the vehicles.
  • Ensure Daily vehicle cleaning standards are met for the next day’s service.
  • Manage and prioritize/schedule Driver inspection reports daily and timely.
