About The Position

The Assistant Licensing Coordinator will play a critical role in managing end-to-end product concept approvals and licensor relationships for WinCraft. Under general supervision of the Licensing Manager, this role is responsible for managing the end-to-end process of product concept approvals, ensuring all licensing requirements are met, and maintaining strong relationships with licensors and internal departments across WinCraft. This role plays a key part in upholding brand integrity, ensuring compliance with licensing agreements, and supporting the overall efficiency of the Licensing Department. The Assistant Licensing Coordinator delivers business and fan impact through BOLD leadership and execution excellence, leveraging data, automation, and AI-enabled insights.

Requirements

  • 3+ years of professional experience in Licensing or Brand Management, with demonstrated knowledge of licensing practices and contractual requirements.
  • High level of attention to detail with a keen understanding of contractual language in licensing documents and the ability to maintain accuracy across high volumes of work.
  • Strong organizational and documentation skills, with proven ability to manage multiple projects and deadlines simultaneously in a fast-paced environment.
  • Excellent verbal and written communication skills, including the ability to interact effectively with Senior Management, licensors, and cross-functional partners.
  • Timely and professional follow-up on all internal and external communications, with a track record of meeting deadlines.
  • Proficiency with licensing approvals software and the ability to quickly learn and navigate external licensor systems.
  • Capable of working independently as well as collaboratively, with the ability to maintain focus and productivity for extended periods in an on-site environment.

Responsibilities

  • Partner cross-functionally with internal design, product, and quality control teams to ensure initial design development meets all licensing requirements from the outset.
  • Serve as a collaborative point of contact for licensors on art approvals, building strong working relationships that reflect WinCraft's standards and commitments.
  • Train teammates on best practices within the Licensing Department, communicating requirements clearly and concisely to ensure consistent understanding of submission rules and standards.
  • Uphold brand integrity and protect the fan experience by maintaining strict confidentiality with licensed properties and ensuring all product concepts meet licensor standards before reaching consumers.
  • Coordinate and distribute licensor-supplied assets to internal team members in a timely manner, enabling accurate and on-brand product development.
  • Abide by pre-production sample requirements prior to releasing for order entry, ensuring fans receive licensed products that meet quality and compliance expectations.
  • Build and sustain strong licensor relationships that support the development of officially licensed products fans are proud to wear and display.
  • Leverage WinCraft's approvals software and external systems to maintain accurate, up-to-date records of licensor feedback and project status, identifying opportunities to improve tracking and efficiency.
  • Proactively contribute to process improvement initiatives within the Licensing Department, recommending changes that drive efficiency and reduce turnaround time.
  • Lead resolution of licensing issues as they arise, working cross-functionally to develop timely and effective solutions that minimize disruption to product timelines.
  • Administer required design changes within the company prior to artwork submission, anticipating compliance gaps and resolving them before escalation is needed.
  • Obtain all necessary licensor and team approvals for product concepts with thorough and accurate documentation, meeting deadlines consistently.
  • Manage a high volume of concurrent approval workflows across multiple licensors and internal stakeholders in a fast-paced environment with a proven track record of follow-through.
  • Maintain current and comprehensive knowledge of licensing practices, contractual language, and agreement requirements to serve as a reliable resource for the team.
  • Execute all tasks as directed by the Licensing Management Team to support workflow continuity and departmental efficiency across the Licensing Department.
  • Apply AI and technology to improve efficiency, quality, and outcomes.
  • Use data and digital tools to inform decisions and enhance performance.
  • Demonstrate curiosity and adaptability in adopting new technologies and ways of working.
  • Contribute to a culture of innovation and continuous improvement.
