About The Position

The City of Whitefish is actively recruiting for a part-time exempt Assistant Library Director to join the Whitefish Public Library. This position is part-time and will be working 30 hours per week. The Assistant Library Director, under direction from the Whitefish Community Library Director, assists in implementing the activities and operations of the Whitefish Community Library. This role requires working with library management and staff, City officials and employees, and the public with discretion and diplomacy. Requirements

  • Bachelor’s degree from an accredited four-year college or university.
  • One to three years relevant work experience.
  • Proven experience working in a fast-paced environment requiring excellent customer service skills.
  • Proven experience with Integrated Library Systems (ILS), Content Management Systems, social media, and newsletters.
  • Experience with online promotional software such as Canva, MailChimp, and Eventbrite.
  • Experience with downloadable books, e-readers, tablets, and smartphones.
  • Advanced competency in Microsoft 365 including Word and Excel, Outlook and Windows Operating System.
  • Strong instructional skills (planning and delivery) and ability to work with people possessing a wide range of technical know-how.
  • Ability to learn new versions of technology as they become available.
  • Excellent communication skills in person and in writing.
  • A valid state driver's license or ability to obtain one within thirty days of employment.
  • Certification through the State of Montana Certification Program for Library Directors, Staff and Trustees.

Nice To Haves

  • MLS preferred.
  • Experience with SirsiDynix, OCLC, OverDrive and/or Libby preferred.
  • Enrollment in the Montana State Library certification program will be required.

Responsibilities

  • Serves as Interim Library Director in their absence.
  • Assists in training and oversight of library staff and volunteers as directed by the Library Director.
  • Oversees the selection, accumulation, circulation and cataloguing of library materials.
  • Manages the registration of library patrons.
  • Provides information to library users.
  • Oversees the library building maintenance, repairs, and cleaning.
  • Orders Library supplies on an as needed basis.
  • Prepares billing, assists with budget preparation, and assists with facilities oversight.
  • Prepares schedules to assure adequate coverage of circulation desk, programming, and off-desk assignments of staff.
  • Collects and records statistics to fulfill the requirements of Montana State Library, City of Whitefish, and the Library.
  • Writes and administers grants and manage grant budgets including preparing and final reports.
  • Maintains the Collection using Montana Shared Catalog analytics to access reports, supervise weeding projects, ordering materials, incorporating patron needs and requests.
  • Connects with patrons for recommendations on materials.
  • Plans, implements, and evaluates programming to meet the needs and interests of community members.
  • Connects with patrons for recommendations on programs.
  • Serves as main point of contact for adult programming.
  • Promotes and publicizes adult services by developing and editing the library’s monthly newsletter, and contacting other promotional outlets, such as local newspapers and radio stations.
  • Collaborates with other community organizations to develop special events and programs.
  • Demonstrates advanced communication / customer service skills with library users of all ages in person, by phone, via email, or other technology.
  • Uses Integrated Library System (ILS) to perform maintenance of patron accounts, maintenance of library collection, location and movement of library materials.
  • Assists library patrons in locating materials and provides information on library events, services, policies, and procedures.
  • Assists library patrons in how to use the Montana Shared Catalog to locate materials and for the online features of their library account.
  • Practices confidentiality regarding library visitors and patron accounts.
  • Processes library card applications and issues library cards.
  • Assists library patrons in proper use of library computers and other equipment (computers, scanner, printing, microfilm reader, fax) including minor technical support.
  • Prepares outgoing materials for shipments and processes incoming materials for patron distribution.
  • Operates cash register and processes cash transactions.
  • Represents the Library in city and county-wide committees as assigned.
  • Administers the Library website; reconciles Montana Shared Catalog reports; proctors exams; provides troubleshooting on PCs, tablets, smartphones and printers; remains flexible and positive in an environment of constant change.
