About The Position

NorthPoint is a real estate developer seeking an Assistant Industrial Property Manager to join their growing team. The Assistant Property Manager will support Property Managers with administrative and operational tasks for a portfolio of industrial properties, including work order management, invoice coding, and file organization. Requirements

  • 2+ years of administrative support experience
  • Strong working knowledge of MS Word, Outlook, Excel, PowerPoint, and SharePoint
  • Comfortable with invoice coding, basic financial review, and detailed recordkeeping.
  • Excellent written and verbal communication skills.
  • Highly organized, with the ability to prioritize, multi-task, and manage competing deadlines.
  • Dependable, flexible, proactive, and able to maintain confidentiality
  • Occasional site visits required.

Responsibilities

  • Assist the Property Managers with all administrative matters.
  • Assist with drafting correspondence, notices, and reports.
  • Assist with organizing, assigning, and managing work orders across the portfolio.
  • Assist with dispatching to vendors or maintenance staff and monitor through completion.
  • Follow up with tenants and vendors to confirm resolution.
  • Support 24-hour emergency coverage protocols.
  • Prepare tenant welcome packets for new tenants.
  • Assist with proactive communication regarding maintenance, notices, and property updates.
  • Code property-related invoices and verify accuracy against budget, work orders or service contracts, and tenant chargebacks.
  • Code tenant chargebacks, including tracking engineer labor costs.
  • Assist with vendor and property-related questions.
  • Assist in setting up vendors and maintaining insurance compliance.
  • Assist with CAM reconciliations, CAM estimates, and budget preparation.
  • Support Property Managers with reporting, variance analysis, and accruals.
  • Assist with organizing and maintaining SharePoint files with consistent folder structures and naming conventions.
  • Maintain tenant lease files, records, and correspondence.
  • Monitor key lease dates, critical dates, and tenant/vendor Certificates of Insurance.
  • Visit properties on site as needed to support Property Managers or meet with vendors.
  • Assist with signage, tenant identification, and property materials.
  • Become proficient with Yardi and monday.com.
  • Enter property information and track projects, key dates, COIs, and workflows.
