About The Position

The Assistant Director, Housing Facilities Operations supports the overall coordination, administration, and operational effectiveness of University Housing facilities. This position assists with residential facility operations, housing transitions, capital projects, summer programs, operational planning, and departmental initiatives to ensure residential spaces are safe, functional, and prepared to support the student experience. The Assistant Director collaborates with Housing & Residence Life staff, Facilities Management, campus partners, contractors, and vendors to coordinate facility-related operations, communication, and service needs. This position provides leadership and supervision for assigned staff, assists with operational improvements, supports facility projects, and participates in on-call emergency response rotation to ensure effective housing operations throughout the academic year, summer programs, and special events.

Requirements

Bachelor’s degree in Business management, Public Administration, or related field required
Two years of experience in administration, college student housing or other applicable field.
Experience in working with various Microsoft Office products, Banner and Cbord preferred.

Responsibilities

Assist the Associate Director for Facilities Operations with the coordination and administration of daily University Housing facility operations to ensure residential spaces are clean, safe, functional, and prepared for student occupancy.
Utilize university facilities management systems to submit, monitor, reconcile, and follow up on work orders, service requests, and operational needs to support timely resolution of facility concerns.
Coordinate communication and follow-up between University Housing, Facilities Management, custodial services, contractors, and campus partners regarding work orders, cleaning needs, facility concerns, operational priorities, and service requests.
Partner with custodial services and Facilities Management to monitor residential building conditions, address housekeeping concerns, support quality standards, and ensure residential spaces meet expectations for student living environments.
Review and reconcile facility-related reports, service requests, and operational data to identify outstanding needs, communicate trends, and support continuous improvement of housing facilities.
Coordinate operational needs related to housing openings, closings, occupancy transitions, break housing, summer operations, camps, conferences, and special housing programs.
Assist with furniture moves, room setups, space preparation, labor coordination, and other logistical needs related to residential operations.
Conduct facility walkthroughs and assist with inspections, operational assessments, and documentation of facility needs and improvement opportunities.
Assist with processing and reconciling requisitions and purchase orders in accordance with university procurement guidelines.
Partner with Housing & Residence Life staff to coordinate successful residential transitions, including summer-to-fall opening, fall-to-spring transitions, spring closing, break periods, and other occupancy changes.
Assist with developing transition timelines, coordinating facility readiness activities, and ensuring residential spaces are prepared for student occupancy.
Collaborate with Residence Life, Facilities Management, custodial services, and campus partners to communicate operational needs, timelines, and expectations.
Coordinate communication related to facility impacts, housing transitions, summer operations, camps, conferences, and special programs.
Provide timely updates and follow-up regarding operational concerns impacting students and residential communities.
Participate in an after-hours on-call rotation to respond to urgent housing operational concerns, facility issues, safety concerns, and emergency situations during evenings, weekends, holidays, and university closures.
Coordinate appropriate communication, documentation, and follow-up during emergency situations to support timely resolution and continuity of operations.
Assist with operational planning related to housing openings, closings, transitions, special events, and facility readiness.
Develop and maintain operational timelines, coordinate resources, and support planning efforts to ensure successful execution of departmental priorities.
Assist with security access control and security systems.
Provide supervision, training, and leadership for assigned student staff and operational employees supporting housing facilities operations.
Assist with recruitment, hiring, onboarding, scheduling, training, and performance feedback for assigned staff.
Establish expectations, assign responsibilities, and provide guidance to ensure effective completion of operational duties.
Support staff development, accountability, and cross-training opportunities to enhance departmental effectiveness.
Assist departmental leadership with staffing plans, assessments, and continuous improvement initiatives.
