About The Position

The Assistant Director, Health Care Administration plays a crucial role in managing the financial, clinical operations, faculty productivity, administrative, human resources, and academic functions of a division within the Health Care Administration. This position involves working closely with the Division Chief to develop and manage budgets, ensure financial accuracy, oversee revenue cycle management, track faculty productivity, supervise administrative staff, coordinate human resources activities, and support academic processes. The role requires a strong understanding of university policies and regulations, excellent analytical skills, and the ability to manage multiple projects simultaneously.

Requirements

  • Master's degree in an appropriate area and two years of relevant experience; OR a bachelor's degree in an appropriate area and four years of relevant experience.
  • Ability to plan, manage, organize, and coordinate assignments, and monitor activities of multiple projects simultaneously.
  • Strong data analytic skills.
  • Knowledge/experience of University of Florida rules and regulations as it relates to fiscal spending, personnel services, and contract negotiations.

Responsibilities

  • Develop and manage divisional budgets in accordance with departmental and college guidelines.
  • Ensure the accuracy of financial reports and maintain internal controls over financial reporting.
  • Implement departmental and college policies and procedures regarding fund sources and financial viability.
  • Ensure compliance with University accounting rules, including federal and state regulations.
  • Safeguard divisional assets by protecting and accounting for resources.
  • Approve or delegate approval for purchase requisitions, travel authorizations, vouchers, and payment requests.
  • Provide financial information and analysis to the Division Chief for strategic decision-making.
  • Assist with negotiating, implementing, and monitoring contracts.
  • Ensure divisional fiscal staff is adequately trained.
  • Develop the clinical revenue budget based on expected provider activity, payer, and procedure mix.
  • Educate providers on new coding/reimbursement/compliance, HIPAA, and other regulatory requirements.
  • Ensure providers are trained and monitored on coding accuracy and charge capture systems.
  • Collaborate with clinic directors and managers to develop visit projections and expense budgets.
  • Review practice metrics and collaborate to improve practice performance.
  • Analyze clinical collections to identify problems and develop solutions.
  • Prepare analysis of clinical activity for strategic decision-making.
  • Develop, modify, and maintain divisional faculty productivity tools.
  • Update faculty salary distributions and assignments to reflect and project faculty productivity.
  • Maintain departmental processes for compensation plan management, faculty assignment, benchmarks, incentives, salary increases, and reductions.
  • Supervise all administrative functions of the division.
  • Directly supervise and mentor divisional administrative support, fiscal, and fellowship program staff.
  • Train, supervise, and mentor divisional office staff by delegating effectively and providing growth opportunities.
  • Supervise the accounting of divisional physical inventory according to University policy.
  • Facilitate major renovations and relocations for the division.
  • Ensure divisional website content is accurate and current.
  • Send correspondence to recent donors of divisional foundation accounts.
  • Coordinate and manage divisional human resources and appointment activities for faculty, TEAMS, OPS, housestaff, and graduate assistants.
  • Provide guidance to the Division Chief regarding recommended salaries for new hires.
  • Coordinate with other college or university work units regarding payroll and HR issues.
  • Coordinate with representatives of the Malcom Randal VA Medical Center regarding faculty VA appointments.
  • Ensure salary and fringe benefit costs are distributed to the appropriate funding source.
  • Participate in the resolution of personnel issues and problems.
  • Provide data to the Division Chief regarding faculty and staff salary benchmarks.
  • Assist the Division Chief with coordinating and managing the tenure and promotion process, faculty mentoring program, and mid-career review.
  • Ensure semester effort reports are completed and authorized in a timely fashion.
  • Ensure annual faculty evaluations are completed, distributed, and returned to the Department Chair.
  • Verify that faculty mission assignments and RVU targets are included in annual faculty letters of evaluation.
  • Serve as divisional liaison for Department of Medicine, College of Medicine, and University of Florida committees.
  • Serve on various committees and task forces as directed by the Division Chief or nominated by the College of Medicine.
  • Potentially provide compensation plan support for DOM.
