About The Position

As Boston College enters the fourth year of the public phase of Soaring Higher: the Campaign for Boston College, a $3B comprehensive campaign with priorities in Financial Aid, Academics, and Student Life, University Advancement is seeking an Assistant Director, Gift Management. University Advancement is described as large enough to benefit from campus resources yet small enough to be agile and creative. The department has a 250-person centralized organizational structure with an average staff tenure of nearly 10 years, offering roles in fundraising, alumni relations, operations, and communications and engagement. Requirements

  • Bachelor’s degree.
  • Minimum of 3-5 years fundraising operations and financial capabilities, preferably at an institution of higher education focused or engaged in a capital campaign.
  • Demonstrate independent judgment, problem-solving, and prioritization.
  • Ability to evaluate available information, apply University policies and procedures, collaborate with appropriate stakeholders, and determine the best course of action.
  • Exercise operational responsibility over the accuracy and timeliness of millions of dollars in annual philanthropic revenue processed through the University's advancement systems.
  • Address staffing and workflow challenges by prioritizing workloads, reallocating resources, coaching staff, and identifying process improvements to maintain accuracy, efficiency, and strong internal controls.
  • Calendar year-end and Christmas holiday work week is part of this position.
  • Occasional after-hours work may be needed to assist financial processing or to meet deadlines.
  • Strong working knowledge of Microsoft Word, Excel, PowerPoint Access, Google email/calendar/documents, learn other reporting tools as needed.
  • Must be a team player who is highly motivated and dedicated to the goals of advancing higher education.
  • Have an appreciation for Jesuit Catholic education and the goals and values of Boston College.

  • Master’s degree preferred.
  • Preference for experience with a CRM such as Blackbaud.

Responsibilities

  • Assessing and managing all processes involving gift and donor data collection.
  • Working with gift processors to address and correct any gift processing issues.
  • Supervising four full-time staff positions (Electronic Gift Processing Specialists).
  • Reviewing and overseeing the batching and the preparation of checks for desktop scanning.
  • Managing all bank deposits.
  • Maintaining and overseeing all development bank accounts, the daily distribution and assignment of wire and ACH donations.
  • Functioning as the front-line liaison with banks for remote desktop deposit reporting.
  • Reviewing, approving, and assigning all database transmittals for gifts of $10,000 and above.
  • Reviewing, approving, and distributing all stock notifications.
  • Lending support to the Fund Financial Reporting and processes.
  • Exercising considerable independent judgment in reviewing and approving transmittals, assigning staff workload, prioritizing daily processing, resolving processing exceptions, identifying gift batch and mail discrepancies, recommending process improvements, and escalating complex issues.
  • Making independent operational decisions affecting gift processing timelines, workflow management, and service delivery.
  • Regularly resolving complex operational issues involving gift documentation, donor intent, banking transactions, pledge administration, stock gifts, and wire transfers.
  • Analyzing multiple sources of information to determine appropriate resolution while ensuring compliance with university policies and accounting standards.
  • Fostering a working environment that promotes teamwork and collaboration across University Advancement, while supporting ongoing professional development, learning, and training within their team.
