About The Position

The Assistant Director, Financial Aid position is responsible for ensuring the efficient and effective delivery of financial aid to all eligible students. This role oversees the daily operations, training, and supervision of campus staff involved in awarding and delivering financial aid. Key responsibilities include developing, maintaining, and assessing financial aid computerized systems, while providing financial assistance and excellent customer service to students. The Assistant Director also ensures quality service, consistent information, and effective training and outreach efforts. They monitor staff work, handle student and staff complaints, manage phone and email inquiries, and delegate tasks accordingly. This position interfaces with various external systems and acts as a liaison between financial aid and other departments, community organizations, students, and parents. Additionally, they assist in organizing and presenting regional financial aid workshops and the annual Financial Aid Day for local high school seniors and current students. The role also involves attending and chairing financial aid committees and representing the department at relevant meetings.

Requirements

  • Bachelor's degree required.
  • Five years of experience in financial aid processing.
  • Three years in a supervisory or lead (leading projects, processes and staff) capacity required.
  • Demonstrated in-depth knowledge of federal, state, and institutional financial aid programs, to ensure compliance with policies, legislation, and regulations.
  • Ability to work with student and staff populations, engage in conflict resolution, coordination of interdepartmental projects, deal with outside agencies and auditors.
  • Knowledge of operational processes and procedures, work and task flow for area.
  • Knowledge of federal, state, and institutional financial aid processing systems.
  • Ability to contribute to policy and procedure development.
  • Ability to develop effective system testing scenarios.
  • Demonstrated ability to retrieve and synthesize data from multiple sources to develop solutions to known problems.
  • General understanding of College structure, policies and practices, and the impact on Student Financial Services.
  • Proven expertise in executing operational plans, managing projects and/or programs, budgeting, cost control and delivery of results.
  • In-depth managerial and team building skills, and demonstrated ability to motivate and empower direct and indirect reports to achieve area priorities.
  • Ability to partner with others across the College and externally to exchange information, collaborate on projects, share resources, etc.
  • May require negotiation skills and ability to reach mutual points of agreement and benefit among peers and colleagues.
  • Advanced level technical skills for functional area required.

Responsibilities

  • Oversees and supervises the daily operations and coordination of financial aid services, including the supervision of Senior Advisors and part-time staff at all financial aid campus offices, providing excellent and consistent customer service.
  • Provides guidance to staff advising students regarding student financial aid programs, eligibility requirements, and the application process.
  • Analyzes and evaluates financial aid eligibility for students.
  • Oversees staff in the training and application of new financial aid processes and procedures, ensuring accuracy and consistency of information.
  • Responsible for the overall supervision of campus staff and resolving issues regarding campus staff and students.
  • Assists in the development, supervision, and testing of interfacing financial aid systems with other internal systems.
  • Approves accuracy of test data as needed.
  • Assists in the writing, training, and implementation of financial aid policies and procedures.
  • Assists with the development of departmental policies, procedures, and manuals.
  • Provides departmental support in identifying and solving system-based problems.
  • Contributes by providing recommendations regarding staff training needs in relation to computerized college systems and the interpretation of federal financial aid regulations.
  • Assists in streamlining and updating financial aid processes to more effectively package, award, and distribute aid according to state and federal guidelines.
  • Assists in maintaining campus decorum to ensure current information and processes are delivered to students.
  • Oversees short and long-range financial aid planning, including delivering on the customer service aspect of financial aid.
  • Interfaces with external systems such as Common Origination and Disbursement (COD), Florida Electronic Funds Transfer (EFT), Central Processing Service (CPS), National Student Loan Data System (NSLDS), OSFA, and DOE.
  • Acts as a liaison between financial aid and other departments, as well as community organizations, students, and parents.
  • Assists in organizing, implementing, and presenting regional financial aid workshops for currently enrolled and prospective students.
  • Ensures the department is well represented and provides service to community organization requests for informational workshops.
  • Organizes the annual, regional Financial Aid Day.
  • Attends and sometimes chairs financial aid committees, including form development, satisfactory progress, and professional judgments.
  • Represents SFS at relevant colleges, state, national, and consortium meetings.
