About The Position

This position works independently to provide administrative and operational leadership in the planning, coordination, and execution of NCAA Division I athletic contests, special events, campus activities, and external rentals. The Assistant Director of Facilities, Operations and Event Management serves as a primary resource for event logistics, departmental administration, game management, staffing, budgeting, and coordination with campus partners and external stakeholders to ensure successful and efficient operations.

Requirements

  • Equivalent to a Bachelor's degree in a related field and two years of related experience required.
  • Regularly works evenings and weekend hours.
  • Valid CA Drivers license required.
  • Ability to work evenings and weekends.
  • Ability to communicate with an ethnically and culturally diverse campus community.
  • Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.

Nice To Haves

  • Previous experience with events and/or facility operations.
  • Previous supervisory experience.
  • Knowledgeable in EMS or equivalent software.
  • Ability to develop, analyze, and implement policies and procedures related to facilities operations.
  • Ability to plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved under the direction of the General Manager.
  • Ability to train others on new skills and procedures and provide work direction.
  • Strong organizational, time management, and communication skills.
  • Must possess excellent customer service skills and must be multi-task oriented.

Responsibilities

  • Coordinates departmental administrative functions including scheduling, purchasing, contracts, budget tracking, payroll processing, event documentation, operational reporting, and departmental procedures.
  • Develops standardized processes that improve efficiency and organizational effectiveness.
  • Provides leadership for the planning, coordination, and execution of all NCAA Division I home contests, championships, special events, and external rentals.
  • Oversees staffing, scheduling, event logistics, customer service, payroll coordination, facility readiness, and operational execution while ensuring compliance with University, conference, and NCAA requirements.
  • Recruits, trains, schedules, supervises, and evaluates student assistants, casual workers, interns and event supervisors.
  • Develops staffing plans, operational manuals, and training programs to ensure consistent event execution and customer service.
  • Coordinates event budgets, purchase requisitions, contracts, invoices, payroll, and operational expenditures while monitoring fiscal accountability and assisting with financial reporting.
  • Provides administrative support for departmental initiatives, NCAA and conference championships, strategic planning efforts, operational assessments, and special projects as assigned.
  • Assists with special projects for the department as needed.
