The Assistant Director of Facilities Maintenance is a highly operational role responsible for the coordination, execution, and oversight of daily maintenance activities across the University’s building systems and trades. This position ensures reliable building performance, regulatory compliance, and effective work execution. This position directly manages the work of in-house maintenance staff and a select group of contracted services personnel performing electrical, mechanical, carpentry, painting, and locksmith duties. While the Director of Facilities Maintenance maintains overall organizational leadership and drives strategic initiatives, this role focuses on implementing operational priorities, supporting supervisors, and ensuring consistent, high-quality service delivery. The Assistant Director serves as the primary operational partner to the Sr. Director and acts on their behalf when assigned. Position requires exceptional teamwork and will serve as a key contributor on the Facilities Maintenance Team. This position requires participation in on-call rotation and the ability to respond to after-hours and emergency situations as needed.

Requirements

A bachelor’s degree in facilities management, construction management, engineering, or other related field (or equivalent experience)
Five years of progressive facilities maintenance experience preferably in an institutional or commercial environment
Strong working knowledge of building systems (mechanical, electrical, plumbing, life safety)
Familiarity with NFPA standards, OSHA requirements, and applicable codes
Proficiency with CMMS platforms and maintenance documentation systems
Strong organizational, problem-solving, and coordination skills
Ability to respond effectively in emergency situations
An equivalent combination of education and experience that provides comparable knowledge and skills may be substituted.

Responsibilities

Oversee daily maintenance and repair operations across Mechanical (HVAC/Plumbing), Electrical, Carpentry, Painting, and Locksmith services.
Coordinate workflow, prioritize work orders, and allocate labor to support timely, efficient service delivery.
Provide leadership and technical oversight to supervisors and in-house staff, including performance management and professional development.
Conduct periodic quality-control inspections to ensure work is completed safely, consistently, and to established standards.
Develop, implement, and maintain a preventive maintenance program for building systems, equipment, interiors, architectural components, and related infrastructure, using manufacturer recommendations, code requirements, asset criticality, operational history, and seasonal needs to establish maintenance standards and frequencies.
Manage and coordinate small to mid-scale maintenance projects, renovations, and infrastructure improvements.
Develop scope of work and coordinate scheduling with internal staff and contractors.
Track project progress, costs, and completion to ensure alignment with departmental expectations.
Support implementation of capital renewal plan through accurate documentation of completed work and system updates.
Ensure fire protection, life-safety, and other critical building systems remain operational, properly maintained, and compliant with applicable NFPA standards, OSHA requirements, state and local codes, insurance requirements, and University policies.
Coordinate in-house staff, vendors, and required vendors to execute timely repairs, address deficiencies, and minimize risk or disruption to building operations.
Maintain complete compliance records, inspection documentation, corrective-action logs, and status updates; promptly escalate significant deficiencies, operational risks, and unresolved compliance issues to the Sr. Director.
Utilize the Computer Maintenance Management System (CMMS) to track work orders, preventative maintenance, and asset histories.
Monitor data accuracy and ensure timely close-out of completed work.
Oversee maintenance of building system summaries, compliance records, and infrastructure documentation.
Ensure accurate data entry related to capital renewal and completed infrastructure improvements.
Execute operational priorities established by the Director of Facilities Maintenance.
Provide data, reporting, and analysis to support strategic decision-making.
Communicate operational challenges, resource needs, and compliance risks promptly.
Serve as backup to the Director when unavailable, maintaining continuity of operations.
Develop and sustain a skilled, adaptable maintenance workforce through ongoing technical training, safety education, cross-training, coaching, and performance support.
Assess team and individual skill needs; create development plans that strengthen trade expertise, equipment knowledge, customer service, supervisory capability, and compliance with safety and regulatory requirements.
Provide regular feedback, mentoring, and hands-on guidance to support consistent work quality.
Promote a collaborative, accountable team culture that shares knowledge across trades and responds effectively to evolving campus operational needs.
