About The Position

The Assistant Director of Operations (AD) manages the overall custodial, dorm hospitality, and floor care operations, for the FBI Academy and associated buildings (approx. l.2mil sq. ft.). The AD manages approx. a $200,000 annual budget of operational expense accounts, to ensure contract requirements are consistently met. The AD leads the Training Program for all Supervisors and direct reports, ensuring all Custodial Standards and Corporate required trainings are achieved, utilizing current training experience, outsourced vendors and in-house resources. The AD coordinates directly with the Quality Control Manager to ensure quality standards are maintained through inspection, corrective actions and follow through with all Supervisors. Provide the Director administrative and subject matter support for the Community of Practice Team. The AD is responsible for managing the office staff in the Director of Operations absences. The AD supports the Director as needed to ensure corporate policy, process, business and contractual and operational requirements are met. The AD is responsible for managing approx. 50+ employees (6 Supervisors, 5 Leads, and 40+ direct employees). The AD is the secondary point of contact and assistant to the Director in Contracting Officer Representative (COR) communications and ensuring COR expectations are met, and other stakeholders such as the Unit Chiefs, and Building Managers remain satisfied with the performance outcome of the total operations (custodial, linen, dorms, floor care etc.).

Requirements

  • Must be able to pass and maintain a DoJ Security Clearance required.
  • HS Diploma required
  • Cleaning Industry Management Standard (CIMS) certification required.
  • Fifteen years of custodial knowledge and experience required.
  • Ten years of floor care/restoration knowledge and experience required.
  • Per contract, valid driver’s license and good motor vehicle record (MVR) required.
  • Must be able to work with people internally and externally at all levels of an organization is required.
  • Proficiency in Microsoft Office skills is required.
  • Excellent oral/verbal communication and time management skills.
  • Detail-oriented and able to carry out work with the highest levels of accuracy.

Nice To Haves

  • Associates Degree preferred.
  • Train the Trainer CIMS Certification preferred.
  • CMI Expert Certification (CEC) preferred.

Responsibilities

  • Provide Director with necessary assistance and support to ensure the FBI/DEA (COR) remain satisfied with the overall performance delivery of the contract.
  • Work to resolve complaints, issues, and other concerns from the COR, and within the team and direct reports.
  • Purchase, monitor, and manage all operational supply inventories and spending budgets.
  • Train, coach, and manage all direct reports and subordinates to ensure work schedules are being followed, responsiveness to service requests is adequate, and safe, continuous quality cleaning and floor care/restoration standards are achieved.
  • Ensure continuity of overall operations (dorm, custodial, floor care) are maintained and consistent with the Director and the COR's expectations.
  • In Director’s absence, provide general support and guidance to custodial office staff and subcontractors.
  • Perform planning, revising and creation of work schedules as necessary (dorm, cleaning, and floor care).
  • Monitor use, maintenance, and repair of cleaning and floor care supplies and equipment.
  • Perform cost benefit analysis from supply and equipment vendors to help meet PM's budget forecast requirements and ensure gross margins are achieved.
  • Continuously review FBI Statement of Work contract to ensure requirements are being met.
  • Assess and seek out potential in all employees to ensure close evaluation of performance and provide recommendations to PM for position/building/team assignments and/or internal promotions.
  • Manage and control the equipment and expendable purchasing, inventory and finances through coordinated invoice review and approval between the PM and the Administrative Assistant.
  • Create, revise, and submit ongoing work schedules, and provide ongoing guidance and training to the custodial and floor care supervisors and teams, in accordance with the contract requirements.
  • Perform other responsibilities as assigned.
