About The Position

The Assistant Director of Facility Management (FM) Contract Administration provides strategic leadership for FM contract services. This position will oversee a diverse portfolio of service contracts that support university campus operations, which include janitorial services, Educational Outreach and Student Services (EOSS) Support, elevators, waste and recycling programs, and other assigned contracted services. Working with campus stakeholders and university partners, the position develops contract strategies, supports procurement activities, monitors contractor performance, and drives continuous improvement across the portfolio. The position supports Facilities Management's strategic goals through effective contract administration, vendor accountability, and service delivery planning.

Requirements

  • Bachelor's degree and five (5) years of experience appropriate to the area of assignment/field including two (2) years managerial experience; OR, Any equivalent combination of experience and/or training from which comparable knowledge, skills and abilities have been achieved.
  • Must possess a valid Arizona driver's license (minimum of Class D) upon employment and maintain throughout employment.
  • Post-offer of employment, selected candidate must possess an acceptable driving record which is 5 or fewer points in the most recent 39-month period from date of hire.
  • This position is considered safety/security sensitive and will include a fingerprint check.
  • Employment is contingent upon successful passing of all background, including fingerprint checks.
  • Employee must possess a valid US Driver’s license of the appropriate class and required endorsements throughout employment.
  • Facilities Development and Management at ASU employment requires current eligibility to legally work in the United States.

Nice To Haves

  • Professional certification such as Certified Facility Manager (CFM), Facilities Management Professional (FMP), Certified Educational Facilities Professional (CEFP), or Project Management Professional (PMP).

Responsibilities

  • Develop and maintain the strategic direction for Facilities Management's contracted services portfolio, ensuring alignment with departmental objectives, operational priorities, and evolving campus needs.
  • Develop scopes of work, service levels, and performance requirements for contracted services.
  • Partner with Supply Chain Management to support FM procurement and contract administration activities.
  • Direct vendor performance management strategies and service accountability across the contract portfolio.
  • Advise Facilities Management leadership on contract risks, vendor performance, sourcing opportunities, and service delivery improvements.
  • Present contract portfolio performance, risks, and strategic recommendations to Facilities Management leadership.
  • Coordinate with university stakeholders to resolve contract issues and support continuous improvement.
  • Foster collaborative relationships among contractors, Facilities Management teams, and campus stakeholders to support service delivery and operational objectives.
  • Provide oversight of FM contracted service programs
  • Evaluate facilities operational trends and emerging service needs and recommend contract or service model adjustments to support university priorities.
  • Monitor vendor performance and ensure compliance with contractual, safety, and operational requirements.
  • Monitor and evaluate facilities contractor performance to ensure alignment with ASU’s Sustainability Practices, including climate-positive operations and circular resource management
  • Establish and track service levels, performance metrics, and accountability standards.
  • Address performance concerns and implement corrective actions.
  • Analyze portfolio performance and recommend strategic improvements to service delivery, contract structures, and vendor accountability.
  • Manage multiple priorities and respond to urgent or after-hours situations.
  • Ensure effective financial stewardship of contracted services through expenditure oversight, cost management, and performance-based accountability.
  • Provide strategic recommendations regarding contract funding needs, budget planning, and resource allocation priorities.
  • Identify cost-saving opportunities and benchmark market conditions to support procurement strategies.
  • Supervise, coach, and develop contract administration staff.
  • Provide strategic direction for the contract administration function, establishing priorities, performance expectations, and service standards.
  • Lead cross-functional initiatives involving contracted services, vendor performance, and operational improvements.
  • Support departmental planning and decision-making through analysis of contract portfolio performance, operational risks, and service delivery trends.
  • Represent Facilities Management with university leadership, stakeholders, and external partners on matters related to contracted services and vendor performance.
