About The Position

The Assistant Clinical Director/Program Coordinator supports the daily clinical, operational, administrative, and training functions of the Texas Wesleyan University Community Counseling Center (TWUCCC) and the graduate counseling program. This position assists in coordinating counseling center services, supporting graduate student therapists, managing program operations, and ensuring compliance with university policies, ethical standards, and applicable accreditation expectations. The Assistant Clinical Director/Program Coordinator works collaboratively with counseling center leadership, faculty, supervisors, staff, and student therapists to promote high-quality clinical training, efficient program operations, and client care within a professional and supportive learning environment.

Requirements

  • Part Time (Up to 20 Hours a Week)

Responsibilities

  • Assist in the coordination and oversight of daily counseling center operations.
  • Monitor counseling center systems and assist with maintaining accurate clinical documentation processes.
  • Help ensure compliance with HIPAA, university policies, ethical standards, and counseling center procedures.
  • Assist with implementation and maintenance of counseling center policies and procedures.
  • Support intake coordination, referral processes, and client assignment procedures.
  • Assist with counseling center coverage and operational needs during designated hours, including one Saturday per month.
  • Assist with administrative coordination of the graduate counseling program.
  • Assist student registration-related items, including removing registration holds as appropriate.
  • Conduct and review degree audits to assist faculty with academic progression.
  • Support student tracking and program record maintenance.
  • Assist with departmental financial processes, including budget transfers, requisitions, purchasing requests, and related university documentation.
  • Support tracking of departmental expenditures and operational needs.
  • Coordinate administrative paperwork and maintain organized records and reports.
  • Assist with preparation of spreadsheets, reports, and data collection for departmental purposes.
  • Assist with accreditation-related documentation, organization, and data collection efforts, including support for CACREP accreditation processes.
  • Support preparation and organization of accreditation materials, reports, and supporting documentation.
  • Provide guidance regarding counseling center procedures, documentation expectations, and professionalism standards.
  • Monitor student compliance with clinical documentation deadlines, scheduling expectations, and center procedures.
  • Collaborate with faculty and supervisors regarding student concerns, professionalism, and clinical operations.
