About The Position

The Assistant Athletic Director for Daily Operations & Communication facilitates and administers the day-to-day operations of the Director of Athletics’ office. This role assists in administrative activities and projects to help achieve the mission and goals of WCA and the athletic department. The position requires managing daily operations and events, serving as a point of contact, supervising game day personnel, organizing meetings, maintaining inventory, producing written communications, scheduling staffing, coordinating transportation, managing special events, updating website content, and managing communication and video platforms.

Requirements

  • High School Diploma required
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of people.
  • Knowledge of WCA athletic policies and procedures as they relate to the conduct of WCA staff and students.
  • Ability to coordinate and organize meetings and/or special events.
  • Verbal Communication professional phone skills.
  • Ability to have a Christ-like attitude with high-pressure situations.
  • Strong team building skills.
  • Ability to use electronic equipment for word processing, data management, information retrieval, and telecommunication (preferably Google, Word, and Publisher).
  • Must be organized, have the ability to establish priorities, efficient and able to be discreet with confidential information.
  • Speaks, reads, and writes English fluently.
  • Must be able to read and write cursive.

Responsibilities

  • Manage daily operations and events for the athletic department, including game setup (sound equipment, scoreboards, water, benches, etc.).
  • Serves as a point of contact, provides information, and problem-solving for athletic administrators, coaches, parents, and students.
  • Acts as Game Day Administrator as directed by the Athletic Director.
  • Supervises game day personnel at all home football games.
  • Organizes and schedules coaches’ and parents’ meetings; notifies appropriate parties and secures venues; takes minutes and provides support and follow-up on matters arising from meetings.
  • Organizes and maintains an accurate and current inventory of all facilities, equipment, materials, and supplies, and provides security of and accountability for that property.
  • Maintains departmental inventory, supplies, and records for uniforms.
  • Produces athletic department written communications (internal & external), including but not limited to sports letters, rosters, schedules, awards, programs, regularly scheduled game programs, etc.
  • Schedules staffing for athletic events (gate workers, security, concession stand, etc.).
  • Coordinate and schedule WCA mini and CDL buses for all school transportation needs; fuel buses as needed, and maintain the cleanliness of bus interiors.
  • Coordinate special Athletic Department events, including but not limited to College Athletic Signings, Bulldog Classic, Super Saturday, etc.
  • Produce special event programs (playoffs, tournaments, etc.).
  • Assists with project development and planning to ensure more efficient service and organization of the athletic office.
  • Updates all athletic-related material and pages on the school website.
  • Enters athletic events into a maintained calendar and the School Management System.
  • Manages communication software for team registrations, rosters, and athletic billing for each season.
  • Manages video platform for live streaming athletic events in the gym and stadium.
  • Communicates and verifies our athletic schedule with all other schools and teams involved two weeks ahead via phone or email.
  • Provide emergency contact/insurance forms to coaches for team travel at the beginning of each season.
  • Manage the cleaning & sanitation of the concession stands to remain within the state sanitation grade guidelines.
  • Coordinates dates/times for sports photos and oversees the distribution of pictures when delivered.
  • Does not coach more than two sports per school year. (But it is understood that any coaching does not supersede this job).
  • Manage the distribution and collection of uniforms to/from coaches and maintain the inventory of uniforms.
  • Exhibit a consistent Christian testimony (Galatians 5:22-23).
  • Participates in a local Bible-believing church.
  • Ability to apply Biblical solutions to problems.
  • Personal integrity and self-motivation in the fulfillment of WCA mission.
