About The Position

Atha Enterprises is seeking a detail-oriented Assistant Association Manager to join our Indianapolis office in a hybrid capacity. Working alongside our Community Managers, you will support daily portfolio operations, vendor relations, and homeowner communications. A PMI Assistant Association Manager position is responsible for assisting the Community Association Managers in the management of the day-to-day operations of the communities in the assigned portfolio. The Assistant Community Manager reports directly to their assigned Community Managers, the Director of Community Management, and all other executive staff and is responsible for providing support to managers in the assigned portfolio. This includes, but is not limited to, communicating with homeowners, performing compliance inspections, and generating reports.

Requirements

  • Knowledge of HOA governing documents and financial reports
  • Ability to maintain a high level of accuracy and organization dealing with homeowners
  • Excellent interpersonal skills
  • Analytical and problem solving skills
  • Effective verbal and listening communication skills
  • Computer skills including the ability to operate spreadsheets, word processing programs, e-mail at a high proficiency level

Nice To Haves

  • 6 months of property management experienced preferred but not required.
  • This role offers a structured pathway to becoming a Community Association Manager within approximately 12 months.
  • The ideal candidate will spend their first year mastering our operational procedures and company culture while earning their Certified Manager of Community Associations (CMCA) designation.

Responsibilities

  • Responding to homeowner inquiries via telephone, email, other
  • Updating homeowner account notes
  • Sending and tracking violation letters and architectural request responses
  • Creating community newsletters
  • Creating and tracking maintenance work orders and insurance bids
  • Supporting Community Managers in all functions such as attending meetings (2-3/month), scanning and filling documents, updating community websites, and generating monthly financial reports.
  • Facilitating community inspections
  • Organizing bids, contracts and other community documents
  • Processing special mailings
  • Managing vendor relationships
