About The Position

The University of Florida Alumni Association is seeking an Assistant or Associate Director of Alumni Volunteer Engagement to help energize and grow its network of Gator Clubs® and Affiliate Groups. This role involves partnering with alumni leaders to create engaging programs, strengthen volunteer communities, and foster lifelong connections to the University of Florida. The position will support signature events and empower volunteers with the necessary tools and resources to succeed, ultimately playing a key role in creating experiences that inspire lifelong engagement and strengthen the reach and impact of the Gator Nation.

Requirements

  • Assistant Director: Master’s degree in an appropriate area of specialization; or a bachelor’s degree in an appropriate area of specialization and one year of relevant experience.
  • Associate Director: Master’s degree in an appropriate area of specialization and one year of appropriate experience in alumni affairs or related field; or a bachelor’s degree in an appropriate area of specialization and three years of appropriate experience in alumni relations or related field.

Nice To Haves

  • One to three years of relevant experience in successful higher education program work in alumni relations, development, or marketing/communications is strongly preferred.
  • Experience communicating with engaging and supporting communities.
  • Experience with event planning, and with volunteer management and/or customer service.
  • Exceptional written and verbal communication skills, strong interpersonal abilities, and the capacity to engage effectively and collaboratively with a wide range of individuals are essential.
  • Public speaking experience desired.
  • The ability to learn databases, email marketing tools, and other web-based platforms.
  • Accuracy, attention to detail, a customer service-oriented attitude; and the ability to work in a complex organization are necessary for success in this position.
  • Proficient in the following areas: Windows operating systems, Microsoft Word, Excel, and Access, as well as internet browsers and email platforms.
  • Familiarity with donor databases, contact management systems, and tracking systems is also highly preferred.
  • The ability and willingness to travel are necessary.
  • A valid driver license and good driving record are essential.
  • Business expenses are reimbursed through a standard accounting system.
  • The ability to pay for expenses using your own personal credit card or funds and have them reimbursed is essential.

Responsibilities

  • Assist in the leadership, support, training, and stewardship for the Gator Club® and Affiliate Group program; Serve as the staff advisor to a portfolio of clubs and affiliate groups to ensure their success.
  • Assist in the program evaluation process and participate in strategic and operational discussions.
  • Maintain metrics and reporting for a portfolio of clubs and affiliate groups and ensure return on investment.
  • Extensive travel to regional areas to engage alumni volunteers and seek stewardship opportunities.
  • Assist in the planning, organization, execution, and assessment of the annual Gator Club® and Affiliate Group volunteer leaders’ conference and award and recognition program to steward volunteers and inspire further engagement.
  • Participate in delivering ongoing training for volunteer groups (ex. webinars, conference calls, etc.).
  • Support assigned portfolio of Gator Clubs® and Affiliate Groups with their strategic, marketing and communications efforts to engage with their constituents.
  • Assist in the recruitment, identification, selection, and training process for new and re-organizing Gator Clubs® and Affiliate Groups within their portfolio.
  • Develop an understanding of UFAA technology tools, specifically the database system; to perform data pulls, queries, reports and creating alumni thumbnails.
  • Support the strategy, planning and execution of Affiliate Group reunions and ongoing Gator Club® and/or Affiliate Group regional programming.
  • Serve as liaison between college/unit partners and volunteer leadership for portfolio of clubs/groups for regional events, outreach events, etc.
  • Assist in the planning, coordination, and execution of Gator Club®, Affiliate Group, and Alumni Association programs (including but not limited to Reunions, Leadership Conference, Gator Gatherings, International Gator Day, Welcome to the Gatorhood).
  • Support UFAA events including but not limited to Homecoming/Gator Growl, Gator Day at the Capital, Gator Nation Tailgates, Grand Guard, 40 Gators Under 40, Gator100, etc.
  • Coordinate with Annual Giving team to support affinity giving campaigns and encourage Gator Club® and Affiliate Group participation in and promotion of campaigns throughout the year, including Gator Nation Giving Day.
  • Assist in the identification, engagement, and cultivation of major gift prospects and in the development of the donor pipeline by providing opportunities for stewardship through volunteer committees and programs.
  • Work with Development staff to identify and engage prospects in regional areas.
