About The Position

The Asset Management Specialist assists, develops, and implements best practices to the market rate, affordable, and student housing communities. The Asset Management Specialist will assist with day-to-day functions with the objective of enhancing the underlying performance of the Asset Management Department to achieve the economic goals of Gilbane Development Company.

Requirements

  • Bachelor’s degree or equivalent experience preferred
  • Minimum 3 years of multifamily and affordable housing property management experience preferred
  • Occassional travel required
  • Or equivalent combination of education and experience
  • Proven style of being proactive and multitasking among various projects and assets with organized, methodical system
  • Strong analytical skills with high attention to detail and accuracy
  • Strong organizational, time-management and prioritizing skills
  • Excellent verbal, written and interpersonal communication skills to maintain professional demeanor
  • Ability to work independently and on teams in a fast-paced environment
  • Advanced skills in Microsoft Office and Excel skills

Responsibilities

  • Assists with the operation and preservation of the entire portfolio by responding in a timely, thorough, and concise manner to questions and requests from both internal and external sources
  • Assists with the review of property’s profit and loss statements, downloading information for dashboard distribution, and ensuring regular distribution to executive level staff
  • Ensures financials packages are copied monthly and maintained in appropriate files
  • Works closely with the Director of Asset Management to monitor and advises on financial health of each property, and interface with leadership to implement company financial directives
  • Ensures revenues are timely collected and payments are properly processed by third party and in-house management; improves systems to ensure and enhance current collections and operations
  • Oversees on-site managers, third-party property management companies’, and properties managed in-house to ensure deadlines are met maintaining a professional demeanor and supervisory relationship.
  • Reads, interprets, and advises proposals received by third party and in-house managers, related to the portfolio
  • Ensures approvals are received and analyzed for budget compliance; ensures multiple proposals are received for all expenditures over $3,500
  • Visits properties to inspect their condition, provide direction, and gauge adherence to lease and company standards
  • Assists, prepares, and reviews annual operating budgets and income projections, including analysis of monthly expenses, to ensure they are accurately completed by third property managers
  • Monitors and creates spreadsheets regarding critical dates in the Asset Management Portfolio (Hap renewals/expirations, insurance expirations, real estate tax schedules with date of appeals, and lender reporting equirements, etc.)
  • Assists with ensuring Capital Improvement Plans through direction of budget, contracting and finances are completed timely
  • Submits invoices to accounting for approvals
  • Ensures high-level issues / disputes with tenants, vendors, and contractors, working with third party property managers and outside legal counsel are internally reported to the appropriate asset manager
  • Performs other related duties, as assigned
