About The Position

The Asset Management Coordinator will be responsible for solution development, implementation, and consulting, guiding end-users through recommended solutions to address changing business needs. This role involves engaging with the Technology Solution Lead for strategic technology discussions, organizing business requirements discussions with the software solution provider, and developing/maintaining documentation to manage projects to successful implementation. The coordinator will also facilitate user review and acceptance of application configuration and performance, and provide training and user support during delivery activities. Additionally, the role includes vendor management, monitoring and driving vendor performance through ticket and request management, representing the client in best practice discussions, and ensuring accurate contractual support through SLA and KPI management. Day-to-day responsibilities include asset management administration, placing orders through preferred vendors using ERP systems (Workday and JDE), coordinating custom quotes, identifying workflow challenges and coordinating solutions, entitling users and deploying software, tracking and maintaining software thresholds, working with the hardware deployment team for new hires, assisting with PC refresh and decommission processes, managing queues and prioritizing work, performing ticket quality control, tracking specialty software deployment, pushing software from SCCM, troubleshooting imaging issues, tracking advanced shipping notifications, shipping new machines, coordinating lease returns, communicating with end-users, and managing/tracking budget spend for BAU and project-based activities.

Requirements

  • Experience with ERP systems (Workday and JDE)
  • Familiarity with SCCM for software deployment and troubleshooting
  • Understanding of Service Level Agreements (SLAs) and Key Performance Indicators (KPIs)
  • Ability to manage vendor performance
  • Experience in asset management administration, including ordering and quoting
  • Skills in user entitlement and software deployment
  • Proficiency in tracking software thresholds and reporting
  • Experience with hardware deployment and new hire ticket processing
  • Knowledge of PC refresh cycles and decommission processes
  • Queue management and work prioritization skills
  • Ticket quality control analysis experience
  • Experience with shipping and tracking logistics
  • Ability to coordinate lease returns and pickups
  • Strong communication skills for end-user and project-specific updates
  • Budget management and tracking experience

Responsibilities

  • Guide end users through recommended solutions to address changing and growing business needs

  • Place orders through preferred vendor for hardware refreshes using ERP (Workday and JDE)
  • Coordinate custom quotes for business units as needed for special orders/projects (software based typically)
  • Identify challenges in workflow and coordinate solutions to reduce cost and impact to team
  • Entitle users and deploy software for major titles and one-off requests as needed
  • Track and maintain software thresholds and report/alert when thresholds are low/at risk
  • Work alongside hardware deployment to complete new hire tickets and deploy software to new machines for day one use
  • Track and assist PC Refresh BAU team with lease end movement and decommission process
  • Queue management and prioritization of daily work
  • Ticket quality control analysis with Level one Global Service Desk
  • Track deployment of specialty software for specific business lines
  • Push software from SCCM as requested to meet new hire requests
  • Troubleshoot imaging issues with SCCM packages for major software titles with operations team
  • Advanced Shipping Notification tracking and ticket alerts
  • Shipping/tracking new machines to end location for employee deployment
  • Coordinate lease return/pickup with vendor for onsite techs upon large decommission
  • Communications to end users through project specific comms and asset specific comms
  • Manage BAU and Project based budget spend and track for reporting
